Major/Essential Functions

As the Administrative Assistant for Texas Tech University's Dallas-Fort Worth site, you'll be the first point of contact for guests, students, and staff-creating a welcoming, organized, and professional environment. You'll manage the reception desk, support programs and events on-site and in the community, and help maintain clean, well-stocked public spaces. You'll coordinate supplies, travel arrangements, and expense reports, while working closely with building management and assisting with testing center operations.   • Provide Frontline Customer Service
    Greet and assist guests, students, and staff with warmth and professionalism; answer phone calls and emails, and direct inquiries as needed.

  • Support Daily Operations
    Maintain a clean and organized reception area and public spaces; assist with classroom and event space resets and light cleaning; coordinate with building management; work with vendors as needed.

  • Manage Site Resources
    Monitor and replenish office supplies, marketing materials, and hospitality suite items; initiate purchase requests and maintain receipts and invoices.

  • Coordinate Travel and Expenses
    Arrange travel for staff and complete related expense reports, ensuring all documentation is accurate and submitted on time.

  • Assist with Programming and Events
    Prepare materials for off-site engagements and other events; maintain updated handouts and promotional items; support testing center operations. Update the team calendar with appointments, testing sessions, and site visits. Coordinate work with the Senior Event Coordinator and Facilities Manager.

  • Ensure Policy and Program Awareness
    Demonstrate working knowledge of Texas Tech University policies and procedures to support safe on-site operations and smooth coordination with the main campus. Maintain up-to-date knowledge of site programming and ensure materials such as flyers and handouts are current and available.

  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office technology.
  • Ability to maintain confidentiality and exercise discretion with sensitive information.
  • Comfortable with light cleaning and maintaining public-facing spaces.
  • Ability to work both independently and collaboratively within a team.
  • Self-motivated and adaptable in a fast-paced, entrepreneurial environment.

Required Qualifications

Completion of high school or the equivalent. Five years office experience. Additional education may substitute for experience on a year for year basis.

Preferred Qualifications


  • Associate's degree or higher in business administration, communications, or a related field.
  • Two or more years of administrative support experience.
  • Experience supporting events, workshops, or educational programs.
  • Familiarity with Texas Tech University systems, policies, or procedures.
  • Experience coordinating travel and processing expense reports.
  • Familiarity with inventory management and vendor coordination.
  • Knowledge of event logistics, including room setup and hospitality.
  • Experience working in higher education or a professional learning environment.
  • Ability to navigate scheduling systems and shared calendars (e.g., Outlook, Google Calendar).
  • Customer service experience in a front desk or reception role.
