About the Opportunity: Pursuit Aerospace is looking for an experienced Travel Coordinator. In this role, you will provide the necessary travel support for respective travelers throughout the Pursuit Aerospace organization, including assisting with travel reservations, reviewing itineraries, and handling employee inquiries. Location : Manchester, CT Responsibilities:
- Arrange travel arrangement for individuals or groups, managing flights, accommodations, and transportation.
- Create and maintain travel profiles in our Concur Travel and Expense system.
- Provide training and assist employees with onboarding into our travel systems and corporate card program.
- Prepare expense reports for leadership team.
- Assist with review of expense reports for leadership team.
- Act as primary contact and liaison for Concur Travel and Expense as well as Travel and Transport systems including coordinating system updates.
- Communicate system issues, updates, and changes.
- Assist with department and corporate projects as needed.
- Ensure compliance with our corporate travel and expense policies.
- Maintain queues to assure expense reports are submitted and approvals are attained within set timeframes.
- Review travel associated invoices and statements for accuracy.
- Compare invoice to actual travel transactions to ensure all charges are valid.
- Research and resolve all incorrect charges for respective travelers.
- Create, maintain, and distribute various ad-hoc reports when and as needed.
- Prepare accounting related documents relating to travel and expense.
- Assist with various inquiries.
- Administer the corporate travel and expense card program.
- Assist with SOX testing, as applicable.
Required Qualifications:
- Associates degree and at least 2 years of corporate travel coordination and travel system experience OR in lieu of degree, at least 4 years of corporate travel coordination and travel system experience.
- Must be authorized to work in the U.S. on a full-time bases without sponsorship now or in the future. The Company cannot offer employment to visa holders who require employer sponsorship in the future or cannot work now on a full-time basis.
- Must be able to perform work subject to ITAR/EAR regulations.
Preferred Qualifications:
- Proven track record of establishing and maintaining business partnerships with internal and external customers.
- Ability to communicate effectively both written and oral.
- Strong organizational and time management skills with the ability to handle multiple tasks/priorities.
- Must be detail oriented with a focus on accuracy.
- Ability to take ownership of problems and coordinate appropriate internal resources to help solve issues effectively and efficient.
- Problem solving skills within the team as well as with external personnel.
- Must have travel system experience.
- Experience with Concur Travel and Expense a plus.
- Must be able to work independently with minimal direction.
Working Conditions
- Must be able to have prolonged periods sitting at a desk and working on a computer.
- Must be able to frequently sit, stand and walk.
- Must be able to lift and carry up to 15 pounds.
- Personal protective equipment (e.g., safety glasses and safety shoes) is required on the shop floor
- Occasional weekend and evening work may be required to accommodate priorities, deadlines, and schedules.
