Job Summary
This position will provide support to the administrative team and laboratory team of TxBDC. This position will be responsible for department purchases using UTD systems. Maintain records of all purchases and log the purchases received for future reconciliation. Receive all purchased item and log, accordingly, communicate the requestor the items arrival and create receipts into the system for payment. Submit internal work orders, maintain office inventory, order food for a variety of meetings and handle the delivery. Coordinate all travel arrangements and process reimbursements. Any other duties assigned.
Minimum Education and Experience
Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.
Preferred Education and Experience
Bachelor's degree and two years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.
This is a non-exempt position that provides administrative assistance to TxBDC focusing on purchases, internal expenses, receiving of purchases and logging them for auditing controls. Working with AP to pay invoices and troubleshoot payments.
Other Qualifications
To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities
Detail duties:

  • Process all purchase orders and credit card orders
  • Enter expenses in the Purchase log for audit control
  • Update the Purchase log with reconciliation monthly
  • Receive packages, log them, verify PO/package belongs to TxBDC, communicate package arrival, collect signatures from packages picked up and information if order is incomplete to monitor remaining items for deliver
  • Enter receipts in the eProcurement system for payment
  • Update checkbook balances three times weekly
  • Process Travel arrangements via Concur
  • Process Travel reimbursements and Business Expenses
  • Take conference/meeting rooms reservation
  • Prepare monthly Parking instructions and distribute
  • Set up and break-down conference room items such as AV, catering, pens/pads, etc.
  • Order catering/receive/deliver to the meeting room
  • Maintains office supplies inventory and orders as necessary to keep par
  • Process shipping/returns/repairs mail using eShipglobal
  • Process maintenance work orders, key requests, printing and business cards requests
  • Prepares the monthly Encumbrance report, and close completed POs monthly
  • Assist with other duties as needed

Physical Demands and Working Conditions
Sitting most of the time at a desk and working on a computer. Some event set up such as Table unfolding and set up with table cloth and displaying catered food. Break down at the end of the event and return items used to the department.

Remote Notice: After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. May be required to use personal computer and other standard office equipment. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
