DESCRIPTION OF WORK

This position provides administrative and clerical support to the Maintenance/Housekeeping staff at the Southwestern Veterans' Center and is responsible for coordinating and maintaining daily appointment schedules, creating reports, maintaining department files, and communicating with other departments within the facility. The Clerical Assistant 2 will work closely with department management to organize and provide high quality services to our Veteran population.
Specific duties include typing reports, letters, and other documents related to the Maintenance/Housekeeping department. You will update and store maintenance files, schedule residents' appointments, and answer telephone calls and emails, redirecting them to other employees when appropriate. You will be required to take dictation and minutes during meetings, file reimbursement documents for department staff, and monitor supplies and reorder when stock levels are low.

Work Schedule and Additional Information:
- Full-time employment, 37.5 hours per week.
- Work hours are 7:00am to 3:00pm, Monday thru Friday with a 30-minute lunch.
- Hours may change based on operational needs.
- Telework: You will not have the option to telework in this position.
- Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,108 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS Minimum Experience and Training Requirements:
- Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
- Graduation from high school; or
- An equivalent combination of experience and training.
Additional Requirements:
- Two (2) years or more of experience working with software applications within the Microsoft package and other software packages to create and maintain spreadsheets/calendars/documents/rosters etc.
- Ability to work with various office equipment scanner/printer/fax/computer/tablet/telephone/personal communication devices etc.
- You must be able to perform essential job functions.
Legal Requirements:
- This position falls under the provisions of the Older Adult Protective Services Act.
- Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
- A conditional offer of employment may require satisfactory completion of a background check, TB tests, and physical.
