Position Summary: We have an exciting opportunity to join our team as a Senior Grants Specialist. Will serve as Senior Grant Specialist and be a point person to ensure grants specialist performance; customer service, assignments, coverage, and competencies are appropriate to meet department goals. Responsibilities will include both pre-award and post-award responsibilities including complex proposal review, electronic grant submission and award processing for grant programs. Participates in all pre and post-award grant processes; provides training for SPA and department support staff, and organizes funding opportunities; reviews and maintains budgets, records, processes necessary to ensure compliance with NYU School of Medicine standards, regulations and guidelines. Institutional sign-off on electronic proposals and grant related correspondence. Work independently with minimal supervision.
Job Responsibilities:
- Demonstrates knowledge of the organizations Service Standards and incorporates them into the performance of duties.
- Serve as expert for SPA regarding information including but not limited to complex grant and research policies and procedures including federal regulations, and internal NYULMC
policies and procedures.
- Ensure that internal procedures for maintaining grant tracking and timely processing and reporting are followed.
- Coordinates and assists others in the preparation and review of proposals and contracts relative to complexgrants, in compliance with regulations and applicable federal, state and local laws and regulations.
- Electronically submits grant and fellowship applications to external sponsors on behalf of the institution.
- Coordinates the work activities in conjunction with the Director and Assistant Director.
- Serves as liaison with external funding agency staff on grant-related administrative issues throughout the life of grant including all submission and post award processes.
- Identifies grant opportunities, applies for, administers, and coordinate the administration of federal, state and local grant awards in accordance to applicable standards, regulations and guidelines.
- Reviews external proposal budgets and certifications; ensures compliance with NYU School of Medicine and federal policies and procedures.
- Coordinates contract, award agreement, and subcontract negotiations with contract specialists and departments administering the award.
- Allocates award budgets; maintains budgets for programs; maintains all official award records.
- Provides pre and post-award general support; troubleshoots internal and external grant/contract system implementation.
- Coordinates with department management requests for indirect cost waiver, cost sharing, and other requests requiring administrative approval.
- Maintains all records for the grant activity in their portfolio.
- Audits, monitors, and schedules reports of grant activities. Processes transaction corrections, reallocations, and other related activities.
- Organizes and leads workshops and small group sessions to train research administration staff in various aspects of research administration.
- Works with technical staff on system enhancements, and modifications. Identifies and
resolves technical and functional problems.
- Actively participates in local and national professional organizations and user groups to keep abreast of new functional developments and technology.
- Participates in special projects and performs other duties as assigned
Minimum Qualifications:
- Minimum Qualifications:Bachelor's degree; minimum of 2 years' relevant experience in a research or an academic environment.
- Must include experience with scientific grants preparation.
- Position also requires knowledge and skills in the following areas: Knowledge of grant funding policies and procedures and applicable local, state, federal and School regulations.
- Ability to communicate effectively, both verbally and in writing.
- Knowledge of restricted fund accounting principles, procedures, and standards. Skill in the use of personal computers and software applications including database management skills.
- Knowledge of federal, state and/or community funding sources and mechanisms.Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections.
- Ability to provide technical advice and information to staff.
- Knowledge of current developments/trends in grant proposals.
Preferred Qualifications: A masters degree and five years grants administration or other relevant experience, a Certified Research Administrator certificate or other professional relevant certification, proficiency with electronic grant submission systems and sponsor electronic research administration (eRA) systems are preferred. Qualified candidates must be able to effectively communicate with all levels of the organization.
