Full-Time: Monday-Friday, 8am-5pm

Pay Range: $40.00-$43.75

Summary:
With minimal supervision, assists the Executive Director and/or Regional Director in the execution of his/her duties. Acting on his/her own initiative and independent judgment provides analytical and specialized administrative support of a non-routine, non-repetitive nature. Work is generally of a critical or confidential nature and requires a broad working knowledge of departmental and company practices, policies and procedures.

Detailed responsibilities:
* Sr. Executive Assistant
- Provides quality Customer Service efficiently to residents, families, co-workers and vendors in a manner to ensure satisfaction
- Plans conferences, sets up meetings and takes minutes Schedules appointments, gives information to callers composes and sends correspondence
- Maintain phone extension list, maintains and updates employee and resident phone directory, maintain management team emergency contact sheet
- Residential Billing: Responsible for all accounting related to documenting, keying in all charges in a timely manner, preparing, and distributing resident statements Responsible for aging/past-due account collections and analysis Develop collection strategies to reduce delinquent accounts Makes recommendations to Executive Director regarding charge-offs
- Maintain and reconcile account of Capital Expenditures
- Programming, inventor and distribution of keys
- Analyzes problems, determines approach, compiles and analyzes data, and prepares reports and resolves issues
- Contacts company personnel at all organizational levels to gather information and prepare reports
- Prepares memorandums outlining and explaining administrative procedures and policies to supervisory staff
- Directly supervise 1 or 2 employees who working as administrative support Responsibilities in accordance with the organization's policies and applicable laws include interviewing, hiring, training, planning, assigning and directing work, appraising performance, rewarding and disciplining employees, addressing complaints and resolving problems
- Performs all duties in a safe and efficient manner Reports any safety hazards and/or accidents to supervisor
- Attends all mandatory in-service meetings Complies with all department and facilities policies and procedures

- All employees are required to follow safe work habits in order to prevent injuries to themselves, residents, visitors or other employees

Competencies and skills:
Essential:
* COMMUNICATION/INTERPERSONAL: Effective written communication skills as appropriate for the needs of the audience. Ability to develop and deliver effective presentations; live, via online or virtual mediums. Excellent collaboration and team-building skills. Effective conflict management skills. Ability to effectively build relationships with customers, executive management, and other stakeholders through positive interaction and problem identification and resolution.

* Computer proficiency - Excel, Power Point and Word
* Ability to define problems, collects data, establish facts, and draw valid conclusions.
* Knowledge and awareness of the care needs of the elderly and/or chronically ill.
* Knowledge and ability to teach adult learners.
* Must be able to read, write, speak and understand English
* Must be able to organize, analyze, investigate and implement principles of infection control committee.
* Demonstrated skill in management principles of planning, organizing, and directing
* Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
* Ability to read, analyzes, and interprets general business periodicals, professional journals, technical procedures, or governmental regulations
* Ability write simple correspondence
