About the Opportunity:

We are seeking a motivated Administrative Assistant to support our aerospace machine shop operations. This role will provide administrative support to the production, purchasing, and quality teams, ensuring accurate data entry, smooth workflow coordination, and compliance with aerospace standards. The ideal candidate will be detail-oriented, organized, and capable of working in a fast-paced manufacturing environment.

Responsibilities:

  • Perform administrative tasks including scheduling, filing, and document control.
  • Accurately enter and update work orders, purchase orders, and job travelers in Job boss and Visual ERP.
  • Generate production, scheduling, and inventory reports from the ERP system.
  • Support purchasing and inventory management functions, including order tracking and vendor communication.
  • Assist quality and production teams with documentation required for aerospace compliance.
  • Maintain records related to aerospace parts, tooling, certifications, and work orders.
  • Serve as a liaison between office administration and shop floor personnel to ensure smooth communication.
  • Troubleshoot and resolve basic ERP issues, escalating as needed.
  • Assist with internal audits, customer requirements, and documentation tracking.

Required Qualifications:

  • High school diploma or equivalent; technical certification or apprenticeship preferred.
  • Prior administrative experience.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong organizational skills and attention to detail.
  • Ability to handle sensitive aerospace documentation with accuracy and confidentiality.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.

Preferred Qualifications:

  • Experience supporting machine shop or aerospace manufacturing operations.
  • Familiarity with AS9100 or other aerospace quality management systems.
  • Knowledge of basic purchasing, inventory, or production control processes.
  • Ability to read and interpret complex blueprints and geometric tolerancing.
  • Excellent attention to detail, problem-solving skills, and manual dexterity.

Compensation & Benefits:

This is a full-time position with a competitive hourly wage. Expected weekly hours: 40-50. We offer a competitive benefit package, including health and disability insurance, 401(k) match, paid time off, and company-paid holidays.

The specific programs and options available to an employee may vary depending on the date of hire, schedule type, and the applicability of collective bargaining agreements, among other factors.

Must be willing and able to work onsite full-time in Prescott, AZ. This position is not eligible for relocation.
