Primary Function of Organizational Unit

North Carolina Cooperative Extension gives our residents easy access to the resources and expertise of NC State University and NC A&T State University. Through educational programs, publications, and events, Cooperative Extension agents deliver unbiased, research-based information to North Carolina citizens.

Guilford County is the 3rd largest county in the state and home to two beautiful cities; High Point and Greensboro. In addition to urban programming, agriculture continues to be an integral part of Guilford County with about 90,750 acres of farmland.

Because of our large and diverse Extension program, we have a very vibrant and active team with many programs going on to meet the needs of our community. The Administrative Assistant is a key member of the Extension team and helps with all program areas.

Primary Purpose of Position
The Administrative Assistant in this position will provide administrative support to the County Extension Director and other staff of the Guilford County Extension Center.

Because of our large and diverse Extension program, we have a very vibrant and active team with many programs going on to meet the needs of our community. The Administrative Assistant is a key member of the Extension team and helps with all program areas.

Duties and Responsibilities

The responsibilities of the Administrative Assistant include:

* Extensive work with budgets from numerous sources, including county, state, and grants, and will have responsibility for tracking and reporting expenditures as well as monitoring spending policies.

* Preparing statistical data to assist the budget preparation, reporting, monitoring, and resolution of any discrepancies. The budget process requires attention to detail, tracking, and reconciliations.

* Some Human Resources work is required.
Other Work/Responsibilities
Other responsibilities of the Administrative Assistant include:

* Entering data on electronic travel, leave, and reporting systems.

* Receiving telephone calls and visitors, responding appropriately, and giving out detailed information to inquiries. Referring calls or visitors to the appropriate program or staff person when necessary.

* Performing office support duties of file management, purchasing and maintaining office supplies, reviewing/screening mail, and processing outgoing mail (including mass mailings).

* Providing excellent customer service to call-in and walk-in clientele.

* Providing excellent internal customer service to the agents and staff in the office.

* Organizing and implementing recurring and special events as requested.

* Keeping social media and website up to date and marketing events to the public.

* Establishing and maintaining a variety of tangible files, filing and retrieving information as necessary.

* Performing other related work as required.

Minimum Experience/Education
Graduation from high school and two years of related experience; or graduation from a two-year secretarial science or business administration program and one year related experience

Must be dependable, prompt, and efficient in roles and responsibilities.

Experience with newsletter development, mailings, social media and written communication is crucial in this position.

Must be understanding of, and able to maintain confidentiality, especially as it relates to personnel issues.

Must have excellent customer service skills.

Strong written and oral communication skills.

Strong organizational skills.

Ability to respond to diverse clientele.

High level understanding of technology is desired.
