Job Summary:

Coordinates efforts providing baseline support to project teams against key deadlines and requirements. Maintains project documentation, tracking progress, and identifying potential risks or issues that may impact project delivery, escalating concerns to management for review and follow-up. Answers phone calls and help facilitate communication among team members, clients, and other partners to ensure alignment with project goals and objectives. Provides day-to-day office functions to include reception services, such as answering calls, greeting incoming visitors, tracking shipments, and maintaining office equipment and supplies. May be required to assist in the Mailroom as needed.

Required Skills

To perform this job successfully, an individual should have knowledge and experience with multi-line switchboard, various office equipment, MS Word, Excel, word processing software and the ability to learn department specific software such as Photo Shop, Illustrator and InDesign. Must have excellent customer service, time management and problem-solving skills. Must be a self-starter, flexible, detail oriented, team player, quality conscious, dependable and react well under pressure. This position could require heavy lifting, sitting or standing for longer periods of time.

Essential Functions:

  • Coordinates and plans project activities, ensuring alignment with project goals and timelines.
  • Oversees the maintenance of organized and comprehensive project files and documentation ensuring accuracy, completeness, and accessibility of project records including the handling of Protected Health and Individual Information (PHI/PII) documents.
  • Collects and records data related to project performance, outcomes, and key performance indicators, summarizing project progress and achievements.
  • Follows management-established processes for helping to track project resources, procurement, and allocation of personnel to optimize resource utilization to meet project objectives.
  • Understands quality assurance processes to ensure project deliverables meet established standards.
  • Collaborates within team to ensure integration of project activities with organizational goals.
  • Utilizes project management tools and software to optimize project processes.
  • Approaches others in a tactful manner, reacting well under pressure and treating others with respect and consideration regardless of their status or position.
  • Responds to customer needs, questions, and requests, managing difficult customer situations through active listening to get clarification.
  • Mentors junior staff members.

Level of Supervision Received:
Under close supervision, works closely with manager to prioritize efforts

Education (can be substituted for experience):
Minimum High School Diploma or GED required

Work Experience (can be substituted for education):
2 - 4 years of experience required; 5 - 7 years preferred
