As a Data Fulfillment Specialist, you'll play a critical role in ensuring product approvals, compliance submissions, and quality documentation are complete, accurate, and delivered on time-supporting both internal teams and external customers.
Position Summary
The Data Fulfillment Specialist is responsible for creating, maintaining, and submitting customer-required documentation related to product approvals, material compliance, and quality systems. This role ensures all data packages are accurate, current, and compliant with customer, regulatory, and quality management system requirements. The position works cross-functionally with Quality, Engineering, and Customers to support timely product approvals and ongoing compliance needs.
Essential Responsibilities
- Maintain and update the PPAP Master List to ensure accurate tracking and status of all customer requests.
- Generate, save, and manage PPAP workbooks using approved templates and current documentation standards.
- Assemble documentation packages by gathering and validating drawings, inspection data, R&R studies, material certifications, and test results.
- Verify that all documentation is current, accurate, and appropriate for the required submission type.
- Customize data packages with customer-specific submission information and applicable quality certifications (e.g., IATF 16949, AS9100, ISO 14001).
- Create customer submission packages by compiling documents into PDF format and attaching required APQP documentation, including process flows, PFMEA, and control plans.
- Prepare and submit compliance statements as required.
- Submit and manage data in the International Material Data System (IMDS); identify and escalate missing or expired submissions.
- Communicate submission status, priorities, and risks to the Quality Administrative Supervisor.
- Consistently deliver accurate, complete, and on-time documentation to support customer approvals.
Additional Duties
- Coordinate and submit additional quality and compliance documentation as needed.
- Support the development and maintenance of work instructions and standardized processes.
- Identify opportunities to improve data accuracy, efficiency, and workflow effectiveness.
- Participate in quality system audits as required.
- Maintain strong internal and external working relationships through clear communication and collaboration.
- Maintain a clean, organized, and compliant work environment.
- Adhere to all Environmental, Health, and Safety (EHS) policies and procedures.
- Perform other duties as assigned.
Key Skills & Competencies
- Strong attention to detail with the ability to manage multiple data requests simultaneously.
- Knowledge of PPAP, material compliance, and quality documentation processes.
- Basic understanding of APQP and SPC concepts.
- Ability to review technical drawings and data for accuracy and completeness.
- Strong organizational, time management, and prioritization skills.
- Effective written and verbal communication skills.
- Proficiency with Excel, Adobe, SharePoint, ERP systems, and quality-related software.
- Independent problem-solving skills with a customer-focused mindset.
- Ability to work collaboratively across departments and with external customers.
Qualifications
- High school diploma or equivalent required.
- 1-2 years of related experience preferred; entry-level candidates with strong data or administrative skills are encouraged to apply.
- Experience working with customers or suppliers is a plus.
- Basic math skills and ability to read technical prints.
- Strong computer and data entry skills.
- Ability to work occasional non-standard hours or overtime during weekdays as needed.
- Valid driver's license with an acceptable driving record and adequate insurance.
