Position Summary Reporting to the Chief Strategy Officer of Reunion Giving, this role ensures that key milestones are met across multiple workstreams, including data analysis, reporting, and internal partnerships. The Project Associate, Reunion Giving, serves as an organizational point person supporting the Reunion Giving team on a range of strategic projects. This role works with a degree of independence to interpret data, manage project timelines, and support cross-functional collaboration. Responsibilities Project Coordination
Provide high-level administrative and project support to the Chief Strategy Officer of Reunion Giving and Director of Reunion Giving. Ensure that key stakeholders are aware of project status and any barriers to success. Monitor project deadlines and deliverables
Portfolio Analysis and Management
Collaborate with the External Relations Prospect Research, Management, and Analytics (PMR&A) team to manage the Reunion Giving portfolio changes (removals, additions, referrals). Review and organize the Development Officer's (DO) prospect lists; make data-based recommendations for outreach. Tag and track prospects to monitor progress toward pipeline development goals.
Reporting & Data Analysis
Perform data entry and provide database management support. Analyze prospect data to support pipeline development. Use internal reporting systems to generate reports on the Reunion Giving Development Officers' performance. Interpret data to inform decision-making and optimize fundraising strategies. Provide consistent reporting to the Reunion Giving partners and External Relations leadership. Work with Reunion Giving's assigned Prospect Management Research and Analyst to create reports, if not available in the Salesforce CRM.
Salesforce & CRM Reporting and Training
Learn and master the Advancement Salesforce CRM. Generate reports to track team progress and program success. Test and troubleshoot CRM features; recommend enhancements to improve outreach effectiveness. Collaborate with Advancement Operations teams on CRM optimization.
Administrative Support
Participate in Reunions Giving team meetings. Manage calendars for internal partnership meetings, deliverables, and outcomes. Provide general office support and perform additional duties as needed to meet the evolving needs of the team. Analyze and interpret data to support informed decision-making in collaboration with supervisors. Deliver high-level administrative and operational support across teams, leadership, and donor constituencies. Maintain up-to-date knowledge of organizational policies and procedures, ensuring compliance in all activities. Other duties as assigned.
Essential Knowledge, Skills and Abilities:
Proactively approach projects and leadership needs, anticipating specific challenges or questions, and independently seek solutions Keen attention to detail with excellent organizational, planning, and prioritization skills. Think creatively about process improvements, Competency with Microsoft Office Suite, particularly Microsoft Outlook, Word, Excel and PowerPoint. Willingness and ability to learn new systems, including, but not limited to the Salesforce CRM and Tableau. Ability to manage multiple tasks with competing deadlines, track progress, and communicate task status. Work independently to creatively solve problems within a fast-paced environment. Ability to maintain confidentiality and exercise sound judgement and discretion. Exercise strong judgment and professionalism in both written and verbal communication when engaging with diverse constituent groups. Participate in trainings, meetings, conferences, and cross-training opportunities, as applicable. Other duties as assigned.
Minimum Qualifications
Education: Bachelor's degree. Experience: At least two years. Relevant experience may be considered in lieu of a degree. Proficient with Microsoft Office Programs. Excellent verbal and written communications skills.
Preferred Qualifications
Ability to analyze information using critical thinking and problem-solving skills. Experience working collaboratively with stakeholders to provide business analysis. Previous experience using a CRM in higher education.
Physical Demands This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs. Salary Range

UVA External Relations offers a flexible and hybrid workplace. All team members must have access to and maintain a secure home office environment with high-speed internet service and be able to work collaboratively with others using a variety of technologies and tools. Depending on the type of position and work performed or as deemed by the manager, some positions may be required to work intermittently in our shared office space located in Charlottesville, Virginia. This position can be performed remotely, although some in-person work in our office building, on UVA Grounds, or at event venues, will be required.
