Legal Operations Administrator

Position Type: Hybrid in Franklin, TN

Overview

Innovative Renal Care is seeking a detail-oriented and proactive Legal Operations Administrator to join our team. In this role, you will be a critical partner in enhancing the efficiency and effectiveness of our legal department through process improvement, technology administration, and strategic operational support. The ideal candidate will bridge the gap between legal practice and business operations, ensuring seamless workflows, optimized resource allocation, and data-driven decision-making.

Legal Technology Stack

Our Legal team is focused on a technology-driven transformation and is actively leveraging a modern legal tech stack, including:

  • Xakia: Matter management, automation, and workflow coordination
  • Legora: AI-enabled legal service delivery and workflow automation
  • ContractSafe: Contract repository
  • DocuSign: Electronic signature and agreement management

Key Responsibilities

  • Streamline legal workflows to improve efficiency while balancing turnaround time and quality, including continuous improvement and change management.
  • Identify and implement opportunities to automate and standardize routine legal processes.
  • Create and maintain process documentation, standard operating procedures (SOPs), and best practice guidelines.
  • Own matter intake, tracking, and lifecycle management in the Xakia matter management system, including coordinating information flow with internal stakeholders and external counsel.
  • Administer and support the legal technology stack (Xakia, Legora, ContractSafe, DocuSign), including user support, training, and troubleshooting.
  • Partner with IT and vendors on system updates, integrations, and enhancements.
  • Evaluate new legal technologies and tools to support legal department objectives.
  • Manage relationships with external legal service providers (law firms and alternative legal service providers), including onboarding, performance monitoring, and compliance with engagement terms.
  • Support annual budget planning and quarterly forecasting activities.
  • Develop dashboards and reporting on legal operations metrics, analyze trends, and deliver regular/ad hoc reporting and data-driven insights to leadership.

Required Qualifications

  • Bachelor's degree in Business Administration, Legal Studies, Operations Management, or related field
  • 3-5 years of experience in legal operations, law firm administration, project management, or related operational role
  • Demonstrated experience working within or closely with legal departments or law firms
  • Proficiency in legal matter management systems (experience with Xakia highly preferred)
  • Advanced skills in Microsoft Excel, PowerPoint, and data analysis tools
  • Experience with contract management systems and e-signature platforms
  • Experience with AI-enabled legal platforms and automation tools
  • Strong technical aptitude and ability to quickly learn new software applications
  • Knowledge of legal project management principles and methodologies

Preferred Skills

  • Experience with business intelligence or data visualization tools (e.g., Power BI, Tableau)
  • Understanding of legal industry trends, alternative fee arrangements, and legal service delivery models
  • Project management experience and/or certification (PMP, Lean Six Sigma, or equivalent)
  • Experience in change management and process improvement methodologies
  • Knowledge of legal holds, e-discovery, or litigation support processes
