Position Summary

The University of New Mexico is seeking a highly motivated, dynamic, detail-oriented, and organized individual to join the Office of the Vice President for Research (OVPR) team as a Program Coordinator to support various programs and events within the OVPR including the Grand Challenges Program and the Faculty Research Development Office (FRDO). This position will report to the Grand Challenges Sr. Program Manager with an additional reporting line to the FRDO Assistant Director.

The selected candidate will coordinate, oversee, and/or perform a wide variety of administrative, secretarial, and program support activities, especially related to event coordination. Additionally, they will plan and coordinate the day-to-day administrative and operational activities of OVPR programs and initiatives, including those in the FRDO, OVPR, and the Grand Challenges program. This is a full-time, benefits eligible term appointment with funding available for one year from hire. Continuance beyond that date is subject to the availability of additional funding. This position may require limited travel within New Mexico.

Key duties and responsibilities

Event coordination: work with the Grand Challenges Sr. Program Manager, and/or OVPR Admin Team in arranging logistical aspects of small to medium events including FRDO events (trainings for faculty, team facilitation, workshops), OVPR events, Grand Challenges events and training sessions, and others. Plan and implement meeting and event logistics such as scheduling, invitations and registrations, catering, securing venues, A/V and online meeting support, preparing materials, communication with speakers and attendees, creation and distribution of meeting minutes, post-event surveys, and related tasks as needed.

Website management: Publish updates to FRDO, Grand Challenges, and/or OVPR websites as needed.

Fiscal duties: Purchase supplies for events and programs, obtain a university purchasing card, use Chrome River to reconcile purchases and reimburse travel, keep track of spending and monitor accounts monthly, occasionally assist with conference travel-related bookings and purchases, and other fiscal duties as assigned.

Records maintenance: Assist with data collection and maintain records related to Grand Challenges teams and programmatic activity. Use software packages and systems such as Microsoft Word, Excel, PowerPoint, Outlook, Teams, and SharePoint; Smartsheet; Adobe Creative Suite; and others as assigned.

Communications: Work with the FRDO Team, Grand Challenges Sr. Program Manager, and OVPR Communication & Marketing Manager to write, edit, and coordinate development of promotional materials, educational materials, training manuals, newsletters, articles, and/or brochures, as appropriate to the program.

Will be asked to perform miscellaneous job-related duties as assigned.

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

systems and procurement practices, including P-Cards, purchasing, special
exceptions, Chrome River, time sheets, and travel reimbursement processes

Demonstrated time management
skills, with excellent coordination and ability to follow through

Knowledge
of basic program management techniques including preparation of timelines,
Gantt charts, development and tracking of metrics, and assisting in the
preparation of program reports is preferred but not required.

Excellent
interpersonal, teamwork, and problem-solving skills

Valid driver's license
