Title: Contracts Administrator

Location: Birmingham, AL (onsite)
Duration: 9+ months, possible extension



Job Summary

The Contracts Administrator 3 (CAD3) provides comprehensive contracting and sourcing support to meet the Company's acquisition needs for services and materials. This role supports sourcing initiatives from cradle to grave, including RFP development, negotiations, contract drafting, risk mitigation, and contract lifecycle management.

The position partners closely with Category Management, Legal, Risk, Finance, and business stakeholders to ensure efficient, compliant, and strategically aligned procurement processes. This role will also support technology-related procurement activities, including software, SaaS, and IT services agreements.



Key Responsibilities



Sourcing & Contracting (End-to-End Lifecycle Management)



  • Lead and manage sourcing events from RFI/RFP preparation through contract award and closeout.
  • Conduct cost and price analysis, lead negotiations, perform risk assessments, and draft contract documents and agreements.
  • Support contract administration activities including amendments, claims resolution, change incorporation, and contract closeout.
  • Manage approximately 20-25 concurrent projects while meeting defined turnaround timelines for RFPs, Master Agreements, NDAs, SOWs, and Amendments.



Strategic Procurement & Vendor Management



  • Develop sourcing strategies for low to high-risk services and materials.
  • Lead sourcing projects and contribute to strategic procurement programs for equipment and services.
  • Manage vendor relationships to ensure transparent negotiations, improved commercial terms, cost reduction, and risk mitigation.
  • Conduct market research to identify and evaluate new domestic and global sources of supply.



Contract Drafting & Legal Compliance



  • Draft, review, and negotiate complex contracts, including vendor agreements and client contracts.
  • Ensure inclusion of required legal terms and conditions in procurement documents.
  • Collaborate with Legal, Risk Management, and Finance to resolve contractor exceptions and mitigate exposure.
  • Maintain knowledge of contract law principles, data security provisions, dispute resolution, remedies, and contract formation requirements.



Technology Procurement (IT-Focused Support)



  • Negotiate and manage Software License Agreements, SaaS Agreements, Subscription Agreements, and Technology Equipment Purchase Agreements.
  • Support procurement of Technology Services, Software, SaaS, and Hardware.
  • Identify and mitigate IT security risks related to data breaches, malicious code, vulnerabilities, and regulatory exposure.



Operational Excellence & Systems



  • Maintain accurate and organized contract records, amendments, and lifecycle documentation.
  • Monitor contract milestones, deliverables, and compliance requirements.
  • Contribute to improvements in contract management systems and procurement processes.
  • Build subject matter expertise in Company procurement policies and contracting systems.



Qualifications

Education



  • Bachelor's degree required
  • BS in Business, Management, Finance, or Law preferred
  • Formal education in contract law and drafting highly preferred



Experience



  • 11+ years of experience in contracts administration and sourcing support preferred
  • Experience negotiating technology-related contracts highly preferred
  • Proven experience managing complex, high-volume contract portfolios

  • Strong knowledge of contract law and drafting of terms and conditions
  • Advanced legal and commercial negotiation skills
  • Ability to manage multiple projects under tight deadlines

  • Ability to influence and build consensus across cross-functional teams
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and contract management systems
