Senior Clerical Assistant

Hourly Pay Rate: $16.87 - $25.31

Job Summary: The Senior Clerical Assistant supports the front counter services provided by the County Clerk's Office, which mainly includes processing of marriage license and passport applications, as well as DNR and Transit Sales. Additional duties involve processing mail, copying documents, basic word processing, data entry, filing, archived document retrieval, answering phones and providing information to the general public.



Job Responsibilities:



  • Process applications for marriage licenses and domestic partnership terminations. Check for completeness and clarify discrepancies, verify legal documents, enter data for marriage licenses and domestic partnership terminations, collect payments, print and transmit licenses.
  • Accept and process passport applications. Check for completeness and clarify discrepancies. Verify legal documents, take passport photos and assist the Passport Acceptance Facility Manager, including end of day transmittal sheet verification.
  • Greet and refer customers, receive and transfer calls, take messages, provide information to the public; and notarize documents. Direct customers seeking information on other County services to appropriate departments. Sell transit tickets and DNR permits.
  • Retrieve old marriage license application documents from microfilm and other electronic databases.
  • Receive, sort, and distribute mail and other incoming materials. Copy documents, perform basic word processing, data entry, scan and maintain records and files.
  • Perform other duties as assigned to support the Milwaukee County Clerk's Office mission and operations.



Minimum Requirements:



  • High School Diploma or GED equivalent
  • Current resident of the State of Wisconsin
  • At least two years (2) years of full-time clerical experience working in an office environment and working with the public.



Required Skills and Abilities:


Team player with the ability to work harmoniously and effectively with both co-workers and external contacts. Must possess oral and written communication skills. Proficient knowledge of computer and software applications including MS Office (Word, Excel and Outlook). The ability to use a Cash Register, POS Station, and Document Scanner. Frequent contact with external entities to gather factual information of a confidential manner. The ability to read, write and comprehend simple instructions, routine reports, forms and correspondences.
