The Facilities Manager plays a vital role in shaping the daily experience of our Jacksonville headquarters-creating a workplace that is safe, welcoming, and built for people to do their best work. It offers the opportunity to broaden responsibilities, deepen operational expertise, and take full ownership of a hands-on, high-impact environment-shaping a workplace where associates can do their best work and see the results of your efforts every day. *To be qualified for this position you have:* *Required* * 1-3 years of experience in facilities management, office management, or building operations * Strong vendor management and problem-solving skills * Excellent organizational and communication skills *You will set yourself apart with:* * Knowledge of basic building systems and maintenance practices * Facilities Management certification (e.g., IFMA, FMP, or similar) * Experience managing facilities in an office environment * Familiarity with safety regulations and compliance standards *What you will be doing:* *Facility Operations & Maintenance* * Oversee daily facility operations * Coordinate routine and preventative maintenance (HVAC, electrical, plumbing, lighting, generators, etc.) * Respond to and resolve facilities issues and employee service requests * Maintain cleanliness, safety, and overall appearance of the office *Vendor & Contractor Management* * Manage relationships with vendors (cleaning, security, maintenance, office services, recycling, etc.) * Obtain quotes, manage contracts, and ensure service-level expectations are met * Supervise on-site contractors and service providers *Health, Safety & Compliance* * Ensure compliance with local, state, and federal health and safety regulations * Conduct regular safety inspections and address hazards * Coordinate emergency preparedness plans (fire drills, evacuation plans, emergency contacts) * Maintain safety documentation and incident reports *Physical Security* * Maintain In-Office Physical Security Program * Audit and Inspect Access Control Systems as required by Compliance standards * Issue, Audit and Maintain Badges and Badge Access as required by Compliance standards *Space & Workplace Management* * Manage office layout, seating plans, and space utilization * Coordinate office moves, onboarding workspace setup, and offboarding logistics * Ensure conference rooms and shared spaces are functional and properly equipped * Function as "Landlord" to any sub-leased spaces as applicable *Budget & Asset Management* * Assist with or manage the facilities budget for the office * Track expenses and identify cost-saving opportunities * Maintain inventory of office furniture, equipment, keys, badges, and access controls *General Support* * Serve as the primary point of contact for facility-related questions and concerns * Partner with HR, IT, and leadership on workplace initiatives * Support special projects, office upgrades, or renovations as needed *Skills & Competencies* * Attention to detail * Ability to manage multiple priorities * Strong customer-service mindset * Budget awareness and cost control * Calm and effective response in urgent situations *Physical & Work Requirements* * Ability to walk the office regularly and perform visual inspections * Occasional lifting of office equipment or supplies (within reasonable limits) * On-site presence required during business hours; occasional after-hours support may be needed - Physical security - compliance standards with HITRUST, SOC 1 and 2, ENAC - Physical security audits with badge access, visitor management, and cctv computers. Need to have experience access system Lenel hardware - Security vendor is well versed in this space and can help move along this work. - Experience with budgeting is important, somethings that need to be replaced and fixed and consider replacing things - Health and safety - fire drills and evacuation; active shooter response. What do you do in a fire drill, etc. - Manual that is typed up on the fire drill information - Facilities operation: full service lease, lighting, electrical, plumbing - Issue with furniture - fixing with screw driver but will work with vendors to fix - Critical systems: backup generator, UPS system, power supply that he takes care of. Not mission critical but does take down networking system on how it is serviced - Typically the vendor calls them to take a look - Transfer switch that has high voltage behind it; some nice to knows being documented. - Vendor management is typical, sub tenant is leased out. They go to landlord for a lot of issues, they are self-sufficient. Some furniture and equipment is owned by client and would need to facilitate working with them to fix. - HVAC adjustments - take escalations and take to landlord to address issues - Sub tenant lease is up in 2 years, they would have to let them know about decommissioning the space and equipment if client were to leave building - Reporting to CHRO - Security piece - not just printing badges, pulling reports, things have to be audited - every three months terminating access for badges - Vendors management - Mail services - not as high prioritize, - Main contact with Fedex, UPS, etc. still the administrator for handling this - Concierge service: onsite meetings - works with exec admin team, work with people that need badges, facilitating catering, not much foot traffic, maybe 35 - 40 people at once - People make the job worth it. Very dynamic role, every day is a little bit different. No monotony to the job. - Mail, facilities, procurement aspect, real estate - Personable person and able to work with various people. Someone that is flexible, team of 1 and has to be available 24x7 - Relies on IT team to back him up at times - Could have to come onsite on a weekend for an issue - 1 - 3 times a year. Some after hours dealing with UPS maintenance, reduces risk to operations - He has some documentation on things that he has done with inspections - He does some audit findings every few months and third party comes in once a year - Will fix cabinets and re-arrange tables and chairs - Facilities coordinator - 60,000 sq ft - Not lifting heavy equipment too often *Skills* Property management, Support, Audit *Top Skills Details* Property management,Support,Audit *Additional Skills & Qualifications* Someone that is handy and able to fix some things such as cabinets and furniture Not having to deal with HVAC things but analyze issues and call in vendor *Experience Level* Intermediate Level *Job Type & Location*This is a Contract to Hire position based out of Jacksonville, FL. *Pay and Benefits*The pay range for this position is $50.00 - $60.00/hr.
