Position Summary: We have an exciting opportunity to join our team as an Assistant Director - EFAA.The New York Simulation Center for the Health Sciences (NYSIM) is a public-private partnership between NYU Grossman School of Medicine (NYUGSOM) and The City University of New York (CUNY). The Assistant Director works under the direction of the Director and the Assistant Dean of Simulation Education and is responsible for the complex operations of the Simulation Center, a 6 day per week, 12 hour a day operation, ensuring high quality service and exceptional learner/faculty experience is provided and maintained. The individual assists in strategic planning for the Center and provides leadership and guidance for team members to carry out NYSIMs goals and strategic priorities.
Job Responsibilities:
- Demonstrates knowledge and application of the organization's mission, vision, guiding principles, and service standards, and effectively incorporates them into the performance of duties to manage service goals and objectives at multiple simulation sites.
- Consults and informs NYSIM leadership and staff with information and updates related to Center operations, and partners with the Director to identify the technical, business, and operational impacts of the Center and recommend strategies for improvement.
- Facilitates strategic planning, policy formation, financial performance, and human resource management for programs and services under their management and in collaboration with the Assistant Dean of Simulation Education and the Director. Translates strategies and objectives into appropriate operative actions and initiatives.
- Serves as the Director's deputy and will be responsible for directing all management, operations, and administrative aspects of the Center in collaboration with the Director and in their absence.
- Supports NYSIM leadership in the planning and implementation of special projects as they relate to The City University of New York (CUNY) and NYU Grossman School of Medicine (NYUGSOM) programs, events, and operational improvements for The New York Simulation Center for the Health Sciences (NYSIM).
- Assists in the development of marketing and communication strategies for NYSIM. Liaise with internal web services and communications department personnel to execute print and digital marketing materials. Oversees the content and design of NYSIM's website in collaboration with NYULH MCIT. Develops content and data visualizations for the NYSIM Annual Report.
- Under the guidance of the Director and Assistant Dean of Simulation Education, generates and analyzes data related to utilization and performance. Creates, monitors, updates dashboards and provides monthly and ad hoc reports. Uses data to effectively guide strategic decisions related to Center operations.
- Develops, nourishes, and preserves sound working relationships with faculty, program coordinators and team members. Collaborates with colleagues in cross-functional process improvement and problem solving to ensure the effective, efficient, economic coordination of quality simulation support services within and between departments.
- Provides and maintains open and collaborative communications with the NYSIM team and education community at large.
- Supervises NYSIM employees including per diem employees. Is responsible for hiring, assignment of work, staff schedules, orientation, coaching, training, compliance, performance and competency evaluations. Works in collaboration with the Director to manage discipline and termination of employment in accordance with the NYU Grossman School of Medicine policies. Promotes teamwork and open communication. Serves as mentor to staff in the performance of their duties and professional development. Promotes staff development and oversees NYSIM training programs.
- Fosters a culture of engagement, appreciation, and well-being at the Center. Chairs the NYSIM Team Engagement Committee (TEC); develops initiatives to drive a culture of engagement.
- Manages operations for all NYSIM programs and faculty development events including: First Night on Call, Hot Topics Symposium, Fundamentals of Simulation Education (FUSE), NYSIM Comprehensive Simulation Education (NYCSE) course, and Simulation Technology & Operations (STO), among others. Provides a high degree of support for EFAA sponsored events including NYUGSOM Graduation and Dean's Honors Day.
- Provides support to the Director regarding the finances of the Center. Exercises oversight of NYSIMs fiscal affairs, including accountability for budgets. Prepares and monitors budgets, track payments and billing, generates financial reports, provides analysis, strategizes new funding sources, and offers financial recommendations. Assists in the preparation of variance reports outlining deviations from approved budgets and offering solutions for variances.
- Regularly assesses operations to ensure maximization of NYSIM utilization and resource allocations. Prioritizes supplies and equipment that are cost effective and aligned with operational goals and the annual budget.
- Oversees effective maintenance of facilities and major construction within the Center. Responsible for developing positive, collaborative working relationships with internal partners and vendors (Facilities Manager, SimCapture, Bellevue, IT, Clinical Engineering, RED&F, etc.) with the goal to leverage resources and fully utilize education software to meet operational and educational goals. Ensures education mission interests are honored in space reallocation, construction, and purchase of equipment and supplies. Develops appropriate inventory controls and documentation for NYSIM supplies and equipment.
- Supports the Assistant Dean of Simulation Education and other NYSIM leadership with the development of simulation program initiatives and implementation of strategies to expand and enhance NYSIM programs and services. Collaborates with CUNY and NYU Grossman School of Medicine faculty and leaders, as well as with outside organizations, to design and develop scenarios, and other education initiatives related to healthcare simulation.
- Prepares and delivers reports and presentations. Leads and manages team meetings and conducts regular 1:1 meetings with direct reports to ensure alignment on goals, provide guidance, and oversee project progress and performance.
- Perform other duties as assigned.
Minimum Qualifications: To qualify you must have a Master's degree in management, healthcare, nursing, education, instructional technology, or related field and/or minimum of 5 years of related experience. Experience managing complex operations and overseeing workforce planning and management. Proven leadership to drive projects, manage and motivate team members. Strong organizational, analytical, and problem-solving skills. Experience managing, analyzing, and synthesizing data to support informed decision-making. Excellent communication (written and verbal) and interpersonal skills. Self-motivated and willing to learn new skills. Works effectively to manage competing priorities, meet deadlines, and perform effectively under pressure with minimal supervision. Ability to carry out responsibilities in a timely and meticulous manner, demonstrating initiative and creativity. Oversees training, planning, task coordination, and scheduling to support the centers operations and programmatic objectives. Ability to work effectively in a team environment with healthcare professionals, faculty, and students. Demonstrates discretion and maintains confidentiality about sensitive issues and situations. Capacity to assess situations and adapt to a highly dynamic environment.
