Under the general supervision of the Deputy Director and/or Director, the HR Associate will serve as the primary resource for all E-Verify requests for campus, hospital and satellite employees. The HR Associate will be the primary contact for Tracker I-9 compliance efforts and related functions, including but not limited to monthly I-9 audits, issuance of I-9 compliance letters and oversight and reconciliation of Tracker I9 reports. This role will also assist with appointment processing and job record changes in Banner/HR Front End systems and have oversight on the SURS Disability process for UIC Campus.

Duties & Responsibilities:

Transactional Processing/Data Management:
  • Assist with appointment processing and job record changes in Banner/HR Front End systems, which will include, but not limited to the following: Perform leave of absence transactions for academic employees; Support appointment processing and job record changes for all Faculty, Graduate Assistants, and hourly equivalents; Troubleshoot transaction errors/problems; communicate with college and unit HR administrators to seek resolutions prior to applying the transactions; Respond to employee/campus inquiries regarding HR policies and procedures, campus and university guidelines.

Leave & SURS Processing/Reporting:
  • Provide information to the State University Retirement Systems (SURS), which includes, but not limited to, the following: Manage SURS Disability process and Shared Benefit withdrawals for academic employees; Serves as liaison between SURS, University Payroll and Benefits, and Campus units to ensure timely processing of SURS Disability web events on academic employees; Reviews SURS error reports and updates records accordingly or provides corrected information to SURS Provide timely follow-up to inquiries via email/phone to inquiries from SURS and the UIC colleges/units on questions pertaining to web event processing.

Policy, Procedure and Training Development:
  • Contribute to the development and training of campus-wide policies and/or strategies affecting employment processing; Partner with Department management to communicate Human Resources policies, procedures, programs, and laws; Identify and recommend changes to processing, policies, or procedures to improve service to colleges and units; Participate and collaborate in job aid development to increase efficiency in transaction processing.

HR Service Center Operational Duties:
  • Assists the Deputy Director and/or Director with other section operations, such as: Retro Pay, University compliance, audit requests, Record maintenance/review for campus service awards, etc.; Attending Campus and University-wide policy/procedural meetings; Perform other related duties and participate in special projects as needed.


Minimum Qualifications Required:

  1. Bachelor's degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration or a field closely related to the position.
  2. Two (2) years (24 months) of work experience performing professional-level human resources duties.
  3. Demonstrated experience working with E-Verify and Tracker I-9 processing as well as experience working with general HR information systems.
Preferred Qualifications:
  • Master's degree preferred
  • Significant professional experience in higher education personnel
  • Knowledge of appointment structures, policies, and procedures
  • Familiarity of UIC academic appointments and employment practices
  • Knowledge of University of Illinois campus policies and procedures MS Office, HR Front End, Banner
  • Strong interpersonal, communication and problem solving skills
  • Extensive knowledge of principles and procedures in Human Resources
  • Extensive knowledge of federal and state laws, rules, and/or regulations related to public human resource administration; ability to learn those of the employing institution
  • Skill in reviewing and formulating/revising human resource policies and procedures; ability to exercise controls over the implementation of the policies and procedures
  • Ability to direct the activities of staff members
  • Ability to manage human resource operations and coordinate them with other organizational units
  • Willingness and ability to communicate and deal with a variety of people
  • Willingness and ability to perform repetitive duties and detailed work accurate
