We are seeking a Senior Benefits Specialist - Leave of Absence to serve as the primary owner for leave of absence administration and colleague workplace accommodations. This role manages the full lifecycle of leave and accommodation cases-from intake through return-to-work-ensuring a supportive colleague experience, strong compliance, and consistent partnership with HRBPs, managers, Benefits, and Compliance. This individual will:

  • Lead day-to-day administration of FMLA, state and local leave programs, company leaves, and disability.

  • Administer colleague accommodation requests and the interactive process under the Americans with Disabilities Act (ADA) and applicable state laws, in close partnership with Compliance and external counsel as needed.

  • Collaborate with the Benefits team on broader benefits administration, including vendor coordination, Open Enrollment support, and special projects that enhance how colleagues experience MyHR and Total Rewards.

What Work You Will Be Responsible For:

LOA Administration

  • Serve as the primary point of contact for employees requesting medical, parental, personal, and protected leaves, including FMLA and applicable state and local leave programs.

  • Conduct intake and 1:1 informational session to explain leave eligibility, timelines, documentation requirements, payroll implications, benefits impact, and colleague responsibilities.

  • Administer and track leave cases in Workday and supporting tools/trackers, ensuring accurate documentation, reporting, and audit readiness.

  • Monitor and reconcile payroll for colleagues on leave, including PTO usage, salary continuation, and coordination with disability benefits and state programs.

  • Partner with third-party administrators (e.g., Unum, disability/leave vendors) to submit, track, and resolve leave and disability claims; escalate complex situations as appropriate.

  • Stay current on federal, state, and local leave laws (e.g., FMLA, state family leave, pregnancy/parental leave) and Firm policies, identifying compliance risks and opportunities to simplify and improve the colleague's experience.

  • Responsible for all firm related compliance including but not limited to initiating and completing state required private plan exemptions and submission of all state required payroll and tax filings Provide training and guidance to HRBPs, managers, and MyHR colleagues on leave policies, processes, and best practices, helping drive consistency across the Firm.

Accommodation Administration (ADA & Related Laws)

  • Serve as the primary owner for colleague accommodation requests and overall accommodation administration.

  • Manage the full interactive process, including intake, documentation review, case evaluation, determination, implementation, and follow-up.

  • Review medical and other supporting documentation and assess reasonable accommodation options in compliance with the ADA and applicable state and local laws.

  • Coordinate with colleagues, managers, HR Business Partners (HRBPs), Compliance, ETI, Office Management, and external counsel, as needed, to evaluate and implement accommodation (e.g., job modifications, schedule/remote work adjustments, equipment, workspace changes).

  • Ensure timely, consistent, and well-documented decisions and communications, using templates and standards that align with Firm policies and legal guidance.

  • Monitor ongoing accommodation for continued effectiveness and conduct periodic reviews, update or close cases as appropriate.

  • Maintain confidential accommodation files and tracking tools in accordance with regulatory, privacy, and record retention requirements.

  • Partner with Compliance to evaluate legal developments, policy updates, and risk mitigation strategies related to accommodations and workplace accessibility.

Benefits & MyHR Collaboration

  • Collaborate closely with the Benefits team on broader benefits administration, including:

    • Coordination of leave and accommodation cases with medical, disability, life, and ancillary benefits (e.g., STD/LTD, PFML, EAP, PWFA-related benefits where applicable).

    • Support for Open Enrollment, communications, wellness initiatives and benefits education, especially where leaves and accommodations intersect with benefits choices and eligibility.

  • Provide high-touch support through MyHR channels (phone, email, tickets), ensuring timely, empathetic, and accurate responses to colleague and manager questions on leaves, accommodations, and related benefits.

  • Contribute to continuous improvement efforts in leave and accommodation workflows (e.g., Workday configuration, templates, knowledge articles, FAQs) in partnership with HR Operations and HRIT.

  • Participate in special projects that advance the overall HR Operations and Total Rewards (HROTR) strategy (e.g., harmonizing leave programs after combinations, new jurisdictions, or vendor changes).

Basic Qualifications:
  • 3-5 years of progressive HR experience with a primary focus on leave administration, benefits, and/or colleague accommodations in a mid- to large-size, multi-state organization.

  • Bachelor's degree in Human Resources or related field (or equivalent combination of education and experience).

  • Strong working knowledge of FMLA, ADA, state and local leave laws, and related programs (e.g., STD, LTD, PFML).

Preferred/Desired Qualifications:
  • Experience managing a moderate-to-high volume case workload, ideally in a shared-services or centralized HR model, including coordination with third-party administrators and vendors.

  • Proficiency with HRIT and case management/leave systems (Workday experience preferred), with strong attention to data accuracy and documentation.

  • Exceptional organizational, analytical, and written/verbal communication skills, including the ability to explain complex policies and decisions in a clear, empathetic way.

  • Demonstrated discretion, integrity, and commitment to confidentiality, especially when handling sensitive medical and personal information.

  • Proven ability to build trust and strong partnerships with colleagues, managers, HRBPs, and cross-functional partners in a fast-paced environment.

  • Professional certification(s) such as PHR, SHRM-CP, CEBS, or CPDM (or interest in pursuing).

  • Experience working with multi-state and/or professional services organizations.

  • Prior experience supporting change management, policy rollouts, or system implementations related to leave, accommodations, or benefits.
