POSITION SUMMARY

Provide administrative support to the property management and engineering teams and prompt, courteous, and high-level customer service to the tenants, visitors, and contractors. Comply with the operational policies and procedures established by JBG SMITH.



WHAT YOU'LL DO

Tenant & Lease Support

    Prepare and send tenant notices (reminders, policy updates, sales reporting requests) as directed.
  • Track and follow up on tenant sales reporting and insurance certificates (COIs).
  • Assist with lease administration tasks (move in /out, tenant write offs, assignments, amendments, estoppels, abstracts).
  • Maintain tenant contact lists and update tenant guides/building manuals.
  • Acts as back-up to the Leasing Coordinator position supporting Leasing and Asset Management.

Accounts & Billing

  • Process, code and track invoices and submit for approval.
  • Coordinate with utility providers on tenant billing and account updates.
  • Produce tenant billings.
  • Monitor accounts receivable (AR) and follow up with tenants on outstanding balances. Send tenant statements.

Vendor & Contractor Coordination

  • Assist with service contracts (drafting, routing for approval, filing).
  • Track vendor compliance (insurance, licenses, expirations).
  • Coordinate scheduling for vendors, contractors, and property services.
  • Help track and support property inspections and repairs.

Office & Communication Support

  • Answer calls, greet visitors, and serve as a point of contact for tenants and vendors.
  • Handle mail, FedEx, UPS, courier services.
  • Maintain organized filing systems (digital and hard copy).
  • Schedule meetings and prepare agendas or supporting materials such as minutes.
  • Work with Retail Real Estate Managers to be aware of issues and concerns.

Reporting & Data Management

  • Maintain tracking logs for utilities, contracts, inspections, and tenant obligations.
  • Assist management with monthly, quarterly, and annual reporting.
  • Research and compile data for presentations, reports, or ownership requests.

Special Projects

  • Support Retail Managers as needed.
  • Help prepare for ownership or lender visits (books, reports, property tours).
  • Provide backup assistance for other properties or teams as needed.
  • All other duties as assigned.


WHAT YOU'LL NEED TO SUCCEED (REQUIREMENTS)

  • High School diploma or equivalent and 2+ years' office experience, preferably in property management or customer service.
  • Advanced Microsoft Word, Outlook, and Excel skills.
  • Ability to learn internal accounting and other software packages.
  • Typing - 40+ WPM
  • Top-notch organizational skills.
  • Excellent analytical skills, including the ability to accurately collect, interpret, and evaluate detailed data.
  • Composed demeanor, professional appearance, positive attitude, and customer-oriented approach.
  • Strong problem-solving skills coupled with the ability to work independently and multitask.
  • Self-starter with the ability to work independently.
  • Excellent interpersonal, verbal, and written communication skills.
  • Ability to draft correspondence from verbal guidance and notes.
  • Strong proofreading skills.
  • Flexible, versatile, and able to adapt to rapidly changing priorities.
  • Sound judgment and initiative to properly address and resolve issues.
  • Punctual and available to work 8 a.m. to 5:00 p.m., M-F, for on-time and consistent coverage.
  • Ability to pass a government background check may be required.
  • Bachelor's degree preferred.

The compensation range for this position is $54,000 to $64,000 annually. This position is also eligible for an annual performance bonus.
