POSITION SPECIFICS

The J.Jeffrey and Ann Marie Fox Graduate School seeks an Administrative Assistant (Level - Intermediate Support), for the Office of Graduate Educational Engagement Programs (OGEEP).

Responsibilities: Following are the responsibilites of this position:

  • Front Desk Support: Serve as the primary point of contact by managing the front desk, handling inquiries across channels, conducting initial intake, directing individuals to appropriate resources, and maintaining a professional, welcoming environment.
  • Event and Program Coordination: Provide logistical and administrative support for programs and events, including scheduling, materials preparation, registration management, tech setup, and on-site assistance.
  • Procurement Support: Assist with purchasing, reimbursements, tracking event expenses, coordinating speaker honoraria, and ensuring compliance with university financial policies.
  • Operations and Resource Management: Maintain office systems, inventory, shared files, calendars, and meeting spaces; support document preparation and general operational workflows.
  • Data and Reporting Support: Track attendance and engagement metrics, maintain accurate program records, and assist with basic reporting and assessment documentation.
  • Communications and Outreach Support: Support distribution of communications, maintain mailing lists, assist with social media and marketing materials, and ensure timely responses to program-related inquiries.
  • Partnerships and Special Projects: Provide administrative support for campus collaborations, schedule partnership meetings, prepare materials for advisory groups, and assist with special projects as assigned.

Work Arrangement: This is an onsite position and will operate out of our University Park campus.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

BACKGROUND CHECKS/CLEARANCES

Employment with the University will require successful completion of background check(s) in accordance with University policies. Penn State does not sponsor or take over sponsorship of a staff employment Visa. Applicants must be authorized to work in the U.S.

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
