Role Mission

The Project Coordinator is responsible for ensuring the smooth and efficient coordination of all aspects of assigned customer projects, including customer service, quoting, work order management, purchasing, repairs, and production scheduling.

This individual serves as the primary point of contact for assigned accounts and projects, working closely with customers, sales representatives, shop/warehouse personnel, vendors, and suppliers. The Project Coordinator ensures that projects are completed on time, within scope, and to the highest standards of quality, specifications, and customer satisfaction.


Key Job Responsibilities

Project & Account Coordination

  • Serve as the primary point of contact for assigned accounts and projects, providing consistent communication and project status updates.
  • Participate in production and planning meetings to align timelines, resources, and priorities.
  • Coordinate daily and weekly communications with customers and internal teams to ensure alignment on expectations and deliverables.


Quoting, Costing & Documentation

  • Generate quotes, process orders, and assist with job costing for assigned projects.
  • Create and manage work orders, including documentation for outsourced services or machine work.
  • Prepare service summaries and maintain accurate records of project activities.
  • Ensure all documentation, specifications, and contract details are properly maintained and updated.


Procurement & Vendor Management

  • Procure necessary parts and materials for project execution.
  • Coordinate with vendors and suppliers to ensure timely delivery and competitive pricing.
  • Assist in managing inventory, including allocation to proper jobs, storage oversight, and participation in cycle counts and annual inventory.
  • Support vendor selection, quality monitoring, and pricing evaluation.


Scheduling & Production Coordination

  • Schedule projects based on customer needs, shop capacity, and parts availability.
  • Collaborate with shop leadership to ensure efficient workflow and resource utilization.
  • Monitor progress to ensure adherence to timelines and proactively resolve delays or constraints.


Quality & Compliance

  • Ensure all work meets customer specifications, quality standards, and contractual requirements.
  • Maintain high standards of accuracy and attention to detail in all project documentation and communications.


Team Support

  • Provide backup support to other coordinators as needed.
  • Support Shop Manager and cross-functional teams to maintain operational efficiency.



Competencies

  • A degree in business, skilled trade, project management, or related field preferred.
  • Proven experience in a project coordination, customer service, or operations support role, ideally within a shop, service, or industrial environment.
  • Strong organizational skills with the ability to manage multiple projects and shifting priorities.
  • Excellent verbal and written communication skills.
  • Strong analytical, mechanical aptitude, and mathematical skills are necessary.
  • High attention to detail and accuracy in documentation and reporting.
  • Strong problem-solving skills and ability to make sound decisions in a fast-paced environment.
  • Knowledge of parts procurement, inventory control, or supply chain coordination preferred.
  • Proficient in Microsoft Office; experience with scheduling, ERP, or inventory management software a plus.
