Preconstruction Coordinator
Position Identification:
Salary: Non- Exempt ($55,000-$60,000/ year)
Reports To: Preconstruction Manager
Location: Round Rock, TX
Position Summary
The Preconstruction Coordinator is responsible for managing and executing the administrative, technical, and compliance-related processes required to successfully transition commercial roofing projects from award through production handoff. This role supports contract execution, submittal coordination, value engineering documentation, warranty processing, and complete job setup preparation. The position serves as a central coordination point between Estimating, Operations, Project Management, manufacturers, vendors, and external stakeholders to ensure all pre-start requirements are satisfied accurately and on time.
Core Responsibilities
- Manage receipt, review, distribution, and filing of Letters of Intent (LOIs), contracts, purchase orders, and related project documents.
- Coordinate internal contract reviews with estimating, legal, and operations teams to ensure scope alignment and compliance.
- Track and secure all pre-construction compliance requirements including insurance certificates, bonds, retainage documentation, background checks, and certified payroll documentation as required.
- Prepare, assemble, submit, and track all required project submittals including shop drawings, product data, SDS sheets, and Operation & Maintenance manuals in accordance with project specifications.
- Coordinate shop drawing requests with vendors and manufacturers and ensure timely review and approval by General Contractors, Architects, and consultants.
- Monitor submittal approval status and manage resubmissions when required to prevent delays in procurement or mobilization.
- Facilitate manufacturer warranty registrations and system assembly letters, ensuring documentation is complete and properly filed.
- Support value engineering efforts by coordinating documentation and communication between estimators, vendors, and manufacturers.
- Compile complete job setup packages including contract documents, approved submittals, compliance records, safety plans, and mobilization requirements.
- Organize and maintain accurate digital project files within Salesforce and shared company systems.
- Lead and document preconstruction-to-production handoff meetings to ensure clear transition of scope, documentation, and project requirements to Project Management and field teams.
- Ensure all safety plans, site logistics documentation, and mobilization materials are prepared prior to project launch.
Role Impact
