Position Summary:
The Ambulatory Clinic Supervisor oversees the administrative and operational functions supporting ambulatory clinical activity within the Gynecology service. This role is responsible for ensuring timely patient access, effective management of provider schedules and patient panels, and high-quality service delivery for both local and complex national/international patients seeking care.

The Supervisor partners closely with Division leadership to identify operational challenges, develop solutions, and implement improvements that enhance patient experience, team efficiency, and overall access to care.

Key Responsibilities:
Ambulatory Access & Scheduling Operations
  • Lead all ambulatory scheduling operations across the division, ensuring timely scheduling of incoming patient requests, including complex referrals, national and international patient consultations, and high-acuity cases.
  • Maintain ownership of provider patient panels and schedules to ensure appropriate patient placement, visit types, and alignment with provider clinical focus.
  • Proactively monitor scheduling workflows and access metrics to identify delays, inefficiencies, and opportunities to improve patient access.
  • Work collaboratively with clinical and administrative leadership to optimize provider templates, scheduling processes, and patient flow.
  • Ensure effective communication with patients and referring providers regarding appointment access and scheduling coordination.

Administrative Staff Leadership & Development
  • Supervise administrative staff supporting ambulatory operations across multiple sites, including scheduling and front-end support functions.
  • Lead hiring, onboarding, training, and development of frontline service team members.
  • Provide guidance, feedback, and performance management, and conduct annual performance evaluations in collaboration with Division leadership.
  • Facilitate regular team meetings and promote a collaborative, service-oriented team culture.

Clinic Operations, Performance Improvement & Compliance
  • Oversee day-to-day administrative operations supporting ambulatory clinical activity and patient scheduling workflows.
  • Identify operational challenges and implement process improvements to enhance scheduling efficiency, patient access, and clinic operations.
  • Monitor clinic space utilization, provider schedules, and administrative workflows to support efficient use of resources.
  • Address patient concerns and operational issues while promoting a positive and responsive patient experience.
  • Ensure administrative processes comply with hospital policies, documentation standards, and regulatory requirements.
Minimum Qualifications
Education:
  • Associate's or equivalent experience
  • Bachelor's degree preferred.
Experience:
  • 3 years of experience
  • Demonstrated knowledge of hospital systems, operations and managed care.
  • Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.

The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.

Any base pay offer provided depends on skills, experience, education, certifications, and a variety of other job-related factors.
