Description

The Payroll Supervisor will manage and oversee the payroll function, serving approximately 2,000 multi-state and multi-country employees across manufacturing and corporate environments. This critical role is responsible for ensuring the timely, accurate, and compliant bi-weekly payroll process, managing a team of one to two specialists, and driving continuous process improvements using the current HRIS/Payroll system. Success in this role requires a strong focus on high-volume manufacturing complexities (e.g., shift differentials, overtime, production bonuses) and exceptional attention to tax and regulatory compliance.

RESPONSIBILITIES

  • Payroll Operations & Execution

    • Manage the end-to-end processing of accurate bi-weekly payroll for approximately 2,000 hourly and salaried U.S. employees across multiple states, including all associated tax, deduction, and garnishment processing.
    • Process and validate complex payroll inputs specific to manufacturing, including shift premiums, overtime, production incentives/bonuses, and complex time & attendance rules.
    • Oversee or process all off-cycle payrolls, special payments (e.g., bonuses, severance), and periodic payrolls related to stock compensation transactions.
    • Supervise, mentor, and develop a team of one to two Payroll Specialists, ensuring cross-training, high performance, and adherence to established service level agreements.


  • Compliance, Tax, and Audit

    • Maintain complete responsibility for the oversight, review, and reconciliation of all federal, state, and local payroll tax filings, ensuring compliance with current regulations (IRS, FLSA, etc.).
    • Serve as the primary lead for all internal and external payroll audits, including 401(k), workers' compensation, and tax authority examinations.
    • Manage the relationship with the third-party vendor for international payrolls (Canada, UK, Germany), ensuring data integrity and timely information exchange.
    • Ensure accurate deduction of all garnishments, deductions, and benefits in compliance with legal requirements.


  • Financial Integration & Reporting

    • Serve as the key liaison to the Finance/Accounting department.
    • Responsible for the accurate and timely recording of all payroll financial entries into the General Ledger (e.g., JDE) and performing monthly and quarterly reconciliations of key payroll-related accounts (e.g., liabilities, accruals, taxes).
    • Develop, generate, and distribute routine and ad-hoc payroll reports for management, finance, and operational business partners.


  • Systems and Process Improvement

    • Become the subject matter expert (SME) for the company's HRIS/Payroll system (e.g., UKG, ADP, Kronos, JDE), utilizing its full capabilities to drive automation and efficiency.
    • Establish, document, and continuously improve best practice payroll processes and procedures to ensure scalability and strong internal controls in a high-growth environment.
    • Collaborate closely with HR and Operations to resolve complex time and attendance issues and drive continuous improvement initiatives related to data flow and accuracy.

EXPERIENCE

We are looking for leaders with a minimum of 7 years of progressively responsible experience in payroll administration and a minimum of 3 years experience directly managing payroll staff and processes.



  • Required Skills & Experience

    • Experience managing processes and people to successfully achieve or exceed desired results.
    • Experience processing multi-state payroll for 2,000+ employees
    • Working knowledge of best payroll practices and fundamental accounting principles.
    • Comprehensive understanding of federal and state payroll regulations.
    • Experience with integration/interface between Time & Attendance systems and Payroll.
    • Comprehensive understanding of federal and state payroll regulations (FLSA, IRS).
    • Advanced proficiency in MS Excel (Pivot Tables, VLOOKUPs) and HRIS/Payroll systems (e.g. UKG, Kronos, JDE).


  • Preferred Skills & Experience

    • Associate's or Bachelor's Degree in Accounting, Finance, or Business
    • Certified Payroll Practitioner or similar certification preferred.

SALARY

Base Salary Range: $80,000 - $110,000 annually.

The salary range provided serves as a general guideline for potential compensation for this position. It reflects the base salary and does not account for other benefits or additional compensation opportunities that may apply. This role is also eligible for further compensation through an annual/sales bonus, in addition to the base salary.
