Description

The ADC Submissions Coordinator supports the UCLA Alzheimer's and Dementia Care (ADC) Program by overseeing compliance and operational functions related to the CMS GUIDE Model. Under the direction of the Program Manager, this position ensures accurate documentation, timely billing submissions, and adherence to CMS requirements. The role supports program integrity, audit readiness, and operational efficiency through data monitoring, cross-functional coordination, and performance reporting.

Major Responsibilities include:

  • Oversee compliance and operational functions associated with the CMS GUIDE Model
  • Ensure accurate documentation and timely billing submissions in alignment with CMS requirements
  • Monitor data integrity for GUIDE-aligned clinical and operational documentation
  • Coordinate with internal teams and external vendors to support submission workflows and program operations
  • Manage onboarding and invoicing processes related to CMS GUIDE Model participation
  • Facilitate issue identification, escalation, and resolution across internal and external stakeholders
  • Maintain robust data tracking systems to support compliance, reporting, and operational oversight
  • Analyze clinical and operational data to support performance monitoring and continuous improvement
  • Contribute to program performance reports, audits, and audit readiness activities
  • Support ongoing efforts to improve program operations and compliance processes

Required




  • Skill in setting priorities which accurately reflect the relative importance of job responsibilities


  • Ability to establish and maintain and productive working relationships with Faculty, Staff, external vendors, and patients from various social, cultural and economic backgrounds.


  • Ability to creatively integrate competing demands into a productive working environment.


  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.


  • Ability to interact diplomatically and sympathetically with a patient population in varying degrees of health


  • Solid organizational skills and ability to multi-task with demanding time limits while being proficient in data collection
  • Working knowledge of common computer application programs
  • Proficiency in Excel data collection


Preferred:




  • Knowledge of specific specialty practice and workflows


  • Working knowledge of patient related policies and procedures as well as a thorough understanding of the University system and it services and programs.


  • Knowledge of hospital computer system, and personal computer systems and the various software products to perform administrative work.


  • Experience working with external vendors and maintaining relationships
  • Familiarity and knowledge of the CMS GUIDE Model, authorization process, and managed care programs
  • Bachelor's degree
