Position Summary

The Benefits, Leave & Workers' Compensation Administrator is responsible for the day-to-day administration of employee benefit programs, leave of absence processes, and workers' compensation claims. This role ensures compliance with all applicable federal and state regulations while serving as a key resource to employees regarding benefits, leave eligibility, and workplace injury claims. This position does not have direct reports.

Essential Duties & Responsibilities Benefits Administration
  • Administer employee benefit programs including medical, dental, vision, life, disability, FSA/HSA, and retirement plans.
  • Coordinate new hire enrollments, qualifying life event changes, and annual open enrollment processes.
  • Serve as primary point of contact for employee benefits inquiries and resolve issues with carriers and third-party administrators (TPAs).
  • Reconcile monthly benefit invoices and coordinate with payroll to ensure accurate deductions.
  • Maintain accurate benefits data within HRIS systems and conduct periodic audits for compliance and accuracy.
Leave Administration
  • Manage all leave of absence programs including FMLA, ADA accommodations, parental leave, personal leave, and applicable state leave programs.
  • Determine eligibility, provide required notices, and track leave usage in accordance with federal and state regulations.
  • Partner with managers and employees to facilitate return-to-work processes and reasonable accommodations.
  • Ensure proper documentation and record retention in compliance with legal requirements.
Workers' Compensation
  • Oversee the workers' compensation process from injury reporting through claim resolution.
  • Coordinate with employees, managers, medical providers, and insurance carriers to facilitate timely claim handling.
  • Monitor claim status, track lost time, and support return-to-work programs.
  • Ensure OSHA reporting requirements are met and maintain accurate injury logs as required.
Compliance & Reporting
  • Maintain compliance with federal and state regulations including FMLA, ADA, COBRA, HIPAA, and applicable workers' compensation laws.
  • Generate and analyze reports related to benefits utilization, leave trends, and workers' compensation activity.
  • Support internal and external audits related to benefits and leave programs.
Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • 3+ years of experience in benefits administration, leave management, and/or workers' compensation.
  • Strong working knowledge of FMLA, ADA, COBRA, HIPAA, and state leave laws.
  • Experience working with HRIS systems and benefits administration platforms.
  • Strong attention to detail and ability to manage confidential information.
  • Excellent communication and employee service skills.

Determining compensation for this role (and others) at Vaco by Highspring depends upon a wide array of factors including but not limited to:

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
