Description
The Director, TCO Clinic Operations, will provide essential operational support through the development, implementation, evaluation, and continuous improvement of TCO clinic operations. In addition, the Director will serve as the primary liaison between TCO and Revo Health and actively participate in project work groups across the organization. This is a full-time position working Monday-Friday, normal business hours with some early mornings and evenings required. Twin Cities Orthopedics is an operating division of Infinite Health Collaborative (i-Health), a group of local medical practices, owned and led by its physicians, on a mission to give patients more control over their healthcare.
Essential Functions:
- Oversee TCO Prosthetics and Orthotics, DME, Patient Intake, and the Prior Authorization teams.
- Plan, lead, and implement initiatives independently, under the guidance of the TCO COO and in coordination with the TCO VPs Clinic Operations.
- Evaluate daily workflows to identify opportunities for operational efficiency and improvement.
- Identify best practices and opportunities for cost savings and increased efficiency.
- Stay current with trends and technologies in training methodologies to enhance organizational learning and development.
- Effectively recruit, hire, coach, train, evaluate and develop direct reports and ensure the same for indirect reports, leveraging TCO's core values.
- Partner with COO and Clinic Leadership in driving successful financial performance of their departments (e.g., develop budgets; track performance and variance to budget; oversee purchasing and expense management; collaborate with Business Office to ensure successful billing and collection efforts; maintain an adequate system of internal controls over financial transactions including dual control of cash handling, etc.).
- Stay current on insurance requirements and processes for surgery and injection approvals.
- Understand software requirement for prior authorizations.
- Understand the scheduling processes across TCO to better support the Centralized Scheduling Department.
- Conduct frequent, timely, and appropriate communications with staff through meetings and one-on-one sessions; actively participate in meetings and other communications processes; share information timely, accurately and completely with others as needed.
- Evaluate and develop action plans based upon patient, employee and physician satisfaction data and feedback.
- Appropriately communicate and escalate employee relations issues with senior leader and Human Resources, including but not limited to performance concerns, conduct, attendance and policy violations.
- Collaborate with Patient Advocate on resolutions to any escalated patient complaints.
- Occasionally participate in community functions relating to TCO outreach events throughout the year.
- Participate in Revo and i-Health department meetings to gain a deep understanding of operational workflows and business objectives.
- Collaborate with internal teams and leadership to ensure alignment, effective communication, and exceptional customer service.
- Coordinate with Operations, HR, Billing, and IT teams on cross-functional initiatives.
- Utilize data and reporting in decision making processes.
- Provide enterprise leadership and implementation of latest tools for Clinic, ASC, and Therapy insurance authorization in close collaboration with respective department manager and senior management leadership
- Provide Strategic insights into broad Clinic, Therapy and Ancillary departments with an eye for operational effectiveness and efficiency
- Initiate and lead critical conversations and collaborations across department leadership while seeking best practices in the use of patient and provider tools as well as both local and global projects that impact care delivery.

Education and Experience Requirements:
- Bachelor's Degree
- Advanced degree or equivalent relevant work experience preferred
- Previous independent physician practice management preferred
- 7-10 years of leadership experience preferred, including direct supervision of staff.
- Outstanding oral and written communication, with ability to communicate effectively with a diverse group of individuals with different skill levels and technical knowledge.
- Excellent verbal and written communication skills, with the ability to engage with individuals at all levels of technical knowledge.
- Strong organizational, time management, and interpersonal skills.
- Skilled in delivering presentations and training in both one-on-one and group settings.
- Self-motivated and able to work independently with minimal supervision.
- Proficient in documenting workflows and operational procedures.
- Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
