Pay: $104000 - $120000 / year + 10% annual target bonus

Location: Downtown Austin, TX | TikTok office

Travel: up to 10% to Miami and Toronto locations

Facilities Manager - JLL

What this job involves:

The Facilities Manager will provide strategic oversight and operational leadership for our Miami and Toronto locations, ensuring excellence in facilities operations, compliance, and service delivery. This role requires up to 10% travel between sites and involves close collaboration with account leadership, client stakeholders, and cross-functional teams to deliver world-class workplace experience services.

What your day-to-day will look like:

Relationship Management

  • Serve as the primary interface with clients, visitors, and guests across both Miami and Toronto locations, ensuring prompt and professional follow-up on all customer interactions.
  • Establish and maintain effective communication protocols with JLL Corporate, clients, account staff, peers, subordinates, senior management, and vendor partners across both geographical regions.
  • Respond promptly and accurately to all email and phone communications, maintaining consistent service standards across locations.
  • Actively participate in meetings, sharing innovative ideas and solutions that drive value for the account and support multi-site operational excellence.
  • Foster a high-performance culture among team members that emphasizes client focus, transparent communication throughout the organization, and encourages calculated risk-taking and innovation.
  • Partner with Account Leadership and the Client to develop strategic goals, objectives, and focus areas for Workplace Experience Services and Integrated Service Delivery across the account.

Compliance & Operations

  • Monitor overall workflow across Miami and Toronto facilities to ensure timely completion of all tasks within established Service Level Agreements (SLAs).
  • Meet or exceed customer satisfaction ratings at both locations. Collaborate closely with engineering teams to ensure completion of scheduled preventive maintenance and strict adherence to compliance processes.
  • Monitor capacity at both sites and respond to identified changes, securing stakeholder approvals through the established change control process.
  • Ensure all facilities are compliant and successfully pass JCAP Operations audits at both Miami and Toronto locations.
  • Implement and monitor best practices across both sites, keeping the Client informed of value-added measures and their impact on operations.
  • Conduct consistent facility inspections at both locations and participate in cross-area facility reviews to ensure uniform service delivery standards.
  • Ensure all contract deliverables are met or exceeded, including operational uptime, cost savings initiatives, energy consumption reduction programs, and service improvements through best practices and innovations.
  • Manage operations, maintenance, and capital improvements of all Life Safety, Mechanical, Electrical, Plumbing, HVAC, Security, and Elevator systems across both facilities.
  • Analyze equipment downtime implications and develop Emergency Response Action Plans (ERAP) for equipment failures at each location.
  • Provide project facilities support and technical input for scope of work development to ensure site infrastructure and operational needs are met across both geographies.
  • Effectively manage communications between Miami and Toronto teams and customer contacts, particularly during service outages or facilities scope gaps, including root cause analysis to prevent recurring failures or service delivery lapses.

Team Management

  • Report to the JLL Regional Senior FM while mentoring, guiding, and leading site teams across both Miami and Toronto locations, managing day-to-day operations.
  • Provide oversight of staff at both locations, with input on selection, counseling, performance appraisals, and recognition. Recommend salary actions, promotions, disciplinary measures, terminations, and other personnel decisions.
  • Demonstrate leadership qualities and enthusiasm that inspire high-performance teams across both geographies.
  • Ensure teams complete required training and encourage additional professional development opportunities where appropriate.
  • Mentor and counsel employees regarding career development, coaching them toward advancement. Identify succession planning opportunities and provide direct coaching for performance improvement or transition when necessary.
  • Complete direct report employee reviews on time, ensuring quality conversations that are collaborative and foster open dialogue.
  • Provide coaching and leadership to identify, inspire, and communicate best practices, creating opportunities for team members to participate in tactical delivery improvements.
  • Oversee training and support programs aimed at expanding the capabilities of operations and maintenance staff across both sites, ensuring productivity and efficiency.
  • Establish clear goals and objectives for direct reports. Advance the firm's diversity and inclusion priorities through strategic talent decisions including hiring, rotations, and promotions.

Administrative Functions

  • Finance - Deliver accurate analysis, reporting, and forecasting relative to established Performance Plans and objectives across both locations. Demonstrate ability to interpret and explain results and variances. Develop and maintain adherence to Engineering Operating Budget/forecasts. Track savings and cost avoidance initiatives. Develop and adhere to Capital Budgets where JLL maintains control.
  • Project Management - Demonstrate ability to manage and oversee project development and execution across both sites while adhering to established policies and budgets.
  • Sourcing - Evaluate and ensure service levels are met at both locations, right-sizing resources where appropriate with Client concurrence. Develop sourcing plans (in conjunction with Sourcing Manager) that include appropriate MWDBE bidders (Minority, Women and Disadvantaged Business Enterprise Program). Support RFP/RFQ processes aligned with Client objectives. Demonstrate ability to understand and manage vendor contracts and client leases. Provide tactical operational facilities support, oversight, and performance management of key JLL third-party supplier partners and client strategic alliance partners.
Required Qualifications
  • Minimum 2-4 years of experience in facilities or property management, preferably with multi-site oversight responsibilities.
  • Knowledge of commercial real estate, project management, and real estate finance fundamentals.
  • Accomplished thought leader with a proven track record of delivering strategic operating plans through leading practices and rigorous performance standards.
  • Exemplary Client Relationship Management skills with ability to manage relationships effectively across high-performing JLL and Client organizations.
  • Strong team builder who motivates, develops, and challenges team members to maximize individual and collective potential across distributed teams.
  • Proven time management and delegation skills with ability to manage multiple priorities and deliver results in a fast-paced, heavily matrixed environment.
  • Credible, impactful communicator who operates with a "no surprise" approach. Ability to prepare succinct and impactful communication updates for Senior Executives detailing visible regional activity.
  • Strong analytical ability, judgment, problem-solving, and crisis management skills with capability to gather data, assess situations, and quickly develop and execute solutions.
  • Excellent interpersonal and relationship building skills with ability to work effectively across geographical boundaries.
  • Technical proficiency in basic computer applications, CMMS, Microsoft Office, PowerPoint, Visio, and Microsoft Teams software.
  • Proficient in a range of information technology tools and platforms.
  • Strong analytical, organizational, and presentation skills.
