JOB DESCRIPTION/DUTIES:

The Operations Coordinator will provide comprehensive administrative, travel, procurement, and program management support to ensure efficient laboratory operations. The ideal candidate will coordinate complex administrative processes while ensuring compliance with NIH, NIAID, and Federal policies and procedures. This role requires strong organizational, analytical, and communication skills, along with the ability to manage multiple priorities in a dynamic environment.

* Coordinate preparation and submission of administrative documentation, including travel requests, training requests, leave authorizations, official duty memoranda, and required federal forms.

* Prepare and manage correspondence, reports, mailings, and other administrative deliverables.

* Organize and administer administrative operations for assigned program areas.

* Serve as a liaison between program staff and administrative, budget, and property management offices.

* Coordinate workflows to ensure timely completion of deliverables and program requirements.

* Assemble and process domestic and international travel authorizations, orders, and vouchers in accordance with Federal Travel Regulations and NIH/NIAID policies.

* Track travel actions, maintain documentation systems, and reconcile travel vouchers in a timely manner.

* Prepare and track procurement requests, purchase documentation, and reimbursements.

Maintain procurement records and assist with inventory and property accountability.

* Coordinate with property management officials to ensure compliance with federal property regulations.

* Develop and maintain databases, spreadsheets, and tracking systems for personnel, travel, budget, and project activities.

* Perform data tracking, analysis, and reporting to support program operations.

* Ensure accuracy, completeness, and compliance of all administrative records and documentation.

* Provide guidance to staff regarding administrative procedures and federal guidelines.

* Analyze workflows and recommend process improvements to enhance operational efficiency.

* Identify potential issues and implement solutions to improve program performance.

* Coordinate special projects and support program management initiatives.

* Prepare and submit activity reports and ensure all deliverables meet quality and timeliness standards.

* Maintain confidentiality of sensitive research, personnel, and operational information.

EDUCATION/EXPERIENCE/EXPERTISE REQUIREMENT:

* Bachelor's degree in Business Administration, Public Administration, Health Sciences, or a related discipline.

* 3+ years of experience in administrative operations, program coordination, or federal support services.

* Experience with travel coordination, procurement processes, and administrative support in a federal environment.

* Knowledge of Federal Travel Regulations (FTR) and general federal administrative procedures.

* Strong experience with Microsoft Office Suite (Excel, Word, Outlook) and data tracking tools.

* Strong problem-solving, organizational, and multitasking skills.

* Excellent written and verbal communication skills.

* U.S. Citizenship.

PREFERRED EDUCATION/EXPERIENCE/EXPERTISE:

* Experience supporting NIH, NIAID, or other HHS agencies.

* Familiarity with NIH administrative forms (e.g., Form 348, Form 520).

* Experience with federal procurement and property management processes.

* Experience with SAP Concur Government Edition and NIH POTS.

* Knowledge of laboratory or research program operations.

* Experience identifying and implementing process improvements.
