General Job Description Position Overview We are seeking a proactive and detail-oriented Administrative Assistant to support daily office and field operations. This role is essential in maintaining efficient workflow and clear communication between office staff, field technicians, vendors, and subcontractors. The ideal candidate is highly organized, customer-focused, and experienced in handling multiple administrative responsibilities in a fast-paced environment. Key Responsibilities Administrative & Clerical Support Handle incoming and outgoing mail and packages Maintain organized filing systems (electronic and paper) Perform general clerical duties including filing, scanning, copying, and data entry Manage office supplies and place orders as needed Customer Service & Coordination Provide excellent customer service via phone, email, and in-person interactions Set up and manage warranty service calls Communicate effectively with customers, vendors, and subcontractors Scheduling & Dispatch Coordinate warranty dispatch and scheduling Assist with production scheduling Schedule and support field personnel and technicians Billing & Documentation Assist with billing as needed Prepare documents using Microsoft Word and Excel, including reports, spreadsheets, and correspondence Maintain accurate electronic records and filing systems Team & Field Support Provide administrative support to office and field teams Assist with ordering materials and supplies Coordinate travel arrangements when required Minimum Education None Minimum Years of Experience 0-2 Specific Qualifications Qualifications Required Minimum of 1 year of administrative or receptionist experience (fast-paced environment preferred) Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) Excellent customer service skills Strong organizational skills and attention to detail Ability to manage multiple priorities and meet deadlines Strong verbal and written communication skills Preferred Experience with Microsoft Dynamics 365 (a plus) Bilingual (English/Spanish) Experience in construction, or skilled trades Familiarity with residential service operations Physical Requirements Ability to sit, stand, and walk for extended periods Ability to perform repetitive tasks such as typing, filing, and data entry Ability to lift and carry up to 25 pounds occasionally Ability to bend, reach, kneel, and operate office equipment License Required Yes Job Locations US-TX-Corpus Christi Company Overview IES is a national provider of industrial products and infrastructure services to a variety of end markets, including electrical, mechanical and communications contracting solutions for the commercial, industrial, residential and renewable energy markets.
