Organizational Unit Overview
Eastern Area Health Education Center (Eastern AHEC) is a private, nonprofit educational organization affiliated with East Carolina University ( ECU). The mission of Eastern AHEC, in accordance with the Statewide AHEC Program, is to provide and support educational activities and services with a focus on primary care in rural communities and those with less access to resources to recruit, train, and retain the workforce needed to create a healthy North Carolina. Eastern AHEC functions in close collaboration with East Carolina University, and with the other NC University programs in Nursing, Allied Health, Public Health, Medicine, and Pharmacy, as well as other institutions of higher education. Eastern AHEC serves 23 counties in the eastern part of the state and is one of nine centers located in North Carolina. Governance is by a Board of Directors with representation from regional health care institutions, the community at large, and the community college system. Mental Health Education provides services to the five Area L counties as well as the 23 counties in our region. The administrative structure of Eastern AHEC consists of an Executive Director, a Chief Administrative Officer, a Director of Fiscal Services, a Director of Information & Technology Services ( ITS), a Director of Communication, a Director of Educational Support Services, and six Division Directors which includes; Quality Support Center, Public Health / ORPCE / and Student Services, Mental Health Education, Nursing and Allied Health Education (the approved provider unit), Continuing Medical Education / Dental / Pharmacy CE Education, Pharmacy Education and Library Services.
Job Duties
The purpose of the position is to function as a Program Coordinator for Continuing Professional Development ( CPD) events. This position is supervised by either the Director or Assistant Director of the CPD departments. Duties include assisting in the planning, development, and implementation of conferences, workshops, and symposia throughout the region as well as locally. Primary duties include responsibility for the organisation, planning, implementation, tracking, and monitoring of multiple program management activities, including conference arrangements, faculty travel arrangements, health professional credit awards, contracts, grants, correspondence, and timelines for the oversight of Eastern AHEC regional and statewide responsibilities. Position should function with minimal supervision and is required to consult with the director as appropriate for clarification or additional information.
Must be able to make independent decisions as outlined by the director regarding program and faculty cancellations, along with implementing the notification process for each cancellation. This position will manage CPD events and will also be responsible for setting up and attending various planning meetings. In the performance of duties, this position will utilise excellent customer service skills, attention to detail, time management skills, problem-solving skills, organizational skills, and the ability to work in a self-directed and independent manner. This position will also use word-processing and database computer applications (Microsoft Office, including Word, PowerPoint, and Excel). When communicating frequently with all health care professionals, this position will utilise excellent oral and written communication skills. The duties of this position are as follows:

Program & Administrative Coordination

  • Serves as a primary point of contact for internal and external stakeholders, providing information, coordinating communications, and supporting public interaction related to programs and services.
  • Coordinates program logistics, including scheduling, travel arrangements, itineraries, and faculty coordination, and ensures all program components are confirmed and executed.
  • Prepares and manages administrative and program-related documentation, including correspondence, reports, educational and marketing materials, and vendor and speaker agreements.
  • Supports long-range program planning and implementation by organizing timelines, coordinating activities, and ensuring readiness for program delivery.
  • Assists with financial coordination for programs, including tracking income and expenses, processing invoices and reimbursements, and preparing documentation for fiscal review and payment.
  • Serves as a primary point of contact for internal and external stakeholders, providing information, coordinating communications, and handling sensitive or confidential information in accordance with established policies.


Information / Records Administration

  • Manages and maintains program-related records and documentation, including professional credit applications, travel reimbursements, honoraria, attendance records, evaluation summaries, and faculty data.
  • Ensures accuracy, completeness, and timely processing of records in accordance with program and organizational requirements.

Office Technology & Data Management

  • Utilizes office technology and software applications to support program operations, including document preparation, communication, reporting, and data management.
  • Maintains and enters accurate data into the statewide registration system (CASCE) and other systems to support program tracking and reporting needs.

Budgeting & Purchasing

  • Tracks program-related revenues and expenses and assists with budget monitoring from planning through completion.
  • Prepares financial documentation, including purchase orders, reimbursements, and final budget reconciliation for submission to Fiscal Affairs.

Other Duties

  • Participates in special projects, grants, or work groups as assigned to support departmental initiatives.
  • Supports program implementation by monitoring timelines, coordinating with faculty, vendors, and stakeholders, and ensuring deadlines are met in fast-paced or high-demand situations.

A flexible work schedule and in-state travel may be needed on a limited basis to meet programming needs.
This position is eligible for Flexible Work Arrangements (FWA) under the ECU FWA Policy.
Minimum Education/Experience
Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
License or Certification required by statute or regulation

Preferred Experience, Skills, Training/Education

  • Experience in a medical, human science, behavioral health, or education setting.
  • Working knowledge of the current health care environment.
  • Experience in the use of Microsoft Office with expertise in Word, Excel, PowerPoint, Outlook, and internet applications.
  • Excellent record-keeping skills. Able to input into multiple databases.
  • Able to work independently, prioritize multiple duties to meet specific deadlines, and work with minimal supervision.
  • Excellent interpersonal skills as well as excellent written and verbal communication skills.
