Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Coordinator I for School of Arts and Science ( SAS) - Mathematics department. The Program Coordinator I reports to the Senior Program Coordinator, SPVR.
Among the key duties of this position are the following:

  • Provides administrative and operational support to the Graduate Director, Department Faculty, Department Administrators, and students related to the Math Department's PhD graduate studies program.
  • Serves as the primary contact for current and prospective graduate students regarding program requirements, policies, procedures, deadlines, and funding, and University resources; maintains related student records and program documentation.
  • Coordinates graduate admissions and recruitment activities with the Graduate Director and Admissions Committee, including application tracking, admissions communications, recruitment events, and related program activities.
  • Supports the daily operations of the graduate program and assists with the implementation and administration of University, Graduate School, and departmental policies and procedures related to graduate education, student appointments, academic records, and international student matters.
  • Processes TA/GA/fellowship appointments, tuition remission, and related funding and HR transactions in coordination with departmental business staff and University offices.
  • Coordinates graduate program communications and events.
  • Serves as liaison among the Department, University offices, faculty, and graduate student organizations.
  • Recommends procedural improvements.
  • Provides backup support to the Undergraduate Office.

Qualifications






Minimum Education and Experience

  • Bachelor's degree or an equivalent combination of education and/or experience.
  • At least two years of administrative experience in a university setting.

Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Good communication skills, both written and oral.
  • Good organizational and computer skills.
  • Proficiency with an array of software products, including MS Office Suite, Outlook, Excel, and database management software.
  • Ability to adapt to new programs quickly.
  • Ensures confidential information remains confidential.
  • Comfortable working on multiple projects and priorities.
  • Must function well in a team environment.
  • Must demonstrate patience and be able to communicate effectively especially with a large international student population some with limited English skills.

Preferred Qualifications

  • Knowledge of Microsoft office - all related programs.
  • Knowledge of email, Adobe, University Systems-Cornerstone, HCM, SAS Hiring Systems.

Equipment Utilized

  • Microsoft office - all related programs, PC and tablet, Adobe.
  • Efficient usage of web resources.

Physical Demands and Work Environment

  • This position requires a high level of tact because it is dealing with a wide variety of individuals of many cultures and religions.
  • This position does reply to ALL inquiries and requests related to the PhD graduate program and, if necessary, bring matters to attention of the Graduate Program Director and/or the Department Business manager.
