Contracts Administration & Compliance Coordinator woodcons.com Location: Annapolis Junction, Maryland, USA Job Type: Full-Time Shift: Day Telework: None Salary Range: $75,000 to $100,000 per year, commensurate with experience and qualifications.
WOOD Federal Solutions is seeking a highly organized and detail-oriented Contracts Administration & Compliance Coordinator to support the administration, compliance, visibility, and operational health of our federal contract portfolio.
This position plays a critical role in ensuring contractual obligations are met, compliance requirements are maintained, contract risks are identified, and leadership has timely visibility into contract status, funding, utilization, and lifecycle activities.
The ideal candidate combines strong contract administration skills with an operational mindset and the ability to manage multiple priorities across a portfolio of government contracts. This individual will work closely with the PMO, Finance, Strategic Growth, and Executive Leadership teams to help maximize contract performance, support revenue capture, and maintain compliance with customer and regulatory requirements.
This position reports to the PMO Lead.
Security Clearance Requirements: This position requires all candidates to be U.S. Citizens.
Responsibilities
Contract Administration
Administer and maintain prime contracts, subcontracts, task orders, and contract modifications.
- Review and process contractual documents, funding actions, modifications, and customer correspondence.
- Maintain contract files and ensure documentation is complete, current, and audit-ready.
- Track contract periods of performance, option periods, deliverables, reporting requirements, and key milestones.
- Coordinate with internal stakeholders to ensure contractual actions are executed in a timely manner.
Compliance & Risk Management
- Review contract clauses, flow-down requirements, and compliance obligations.
- Support proposal reviews by identifying contractual risks and compliance considerations prior to submission.
- Monitor contract requirements to ensure organizational compliance with customer obligations.
- Assist with contract audits, reviews, and compliance assessments.
- Support GSA Schedule administration and compliance activities, if applicable.
Contract Portfolio Visibility
- Develop and maintain contract status dashboards and portfolio reporting tools.
- Monitor contract funding, burn rates, utilization, and revenue realization.
- Track and report contract health indicators, including funding levels, period-of-performance status, and contract risks.
- Coordinate 75% burn notifications and other customer-required reporting activities.
- Provide leadership with timely visibility into portfolio status and emerging issues.
PMO & Operational Support
- Support the PMO with contract-related reporting and portfolio management activities.
- Coordinate contract startup, transition, and closeout activities.
- Assist with maintaining contract data within company systems and reporting tools.
- Collaborate with Program Controls, Finance, and Operations to ensure data accuracy and consistency.
Process Improvement
- Identify opportunities to improve contract administration processes, reporting, and visibility.
- Support implementation of new tools, dashboards, and workflow improvements.
- Contribute to the development of scalable contract administration and compliance practices.
Qualifications
Education
- Bachelor's degree in a relevant field.
Required Qualifications
- Minimum of five (5) years of experience in federal contract administration, subcontract administration, or related government contracting functions.
- Working knowledge of the Federal Acquisition Regulation (FAR).
- Experience administering federal contracts, task orders, subcontracts, and contract modifications.
- Experience supporting contract compliance activities and maintaining contract documentation.
- Strong organizational, analytical, and problem-solving skills.
- Demonstrated ability to manage multiple priorities and deadlines simultaneously.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite, including Excel, Word, and PowerPoint.
- Ability to work independently while collaborating across multiple functional teams.
Preferred Qualifications
- Experience supporting Intelligence Community (IC), Department of Defense (DoD), or civilian federal agency contracts.
- Experience with Deltek Costpoint or similar government contractor ERP systems.
- Experience developing contract status reports, dashboards, and portfolio visibility tools.
- Experience supporting contract funding tracking, utilization monitoring, and revenue capture activities.
- Experience administering GSA Schedule contracts.
- Familiarity with contract closeouts, option exercises, CPARS support, and subcontract administration.
- Knowledge of government contractor compliance requirements and audit readiness practices.
- Active security clearance or eligibility to obtain a clearance.
