This position provides high-level administrative and operational support to the Associate Dean for Research and the PhD Director/NHS Division Chair within the College of Nursing, requiring the ability to effectively manage competing priorities across research, faculty, and doctoral program initiatives. Responsibilities include managing complex calendars, coordinating leadership and departmental meetings, preparing agendas and meeting minutes, facilitating communication across academic and research units, tracking faculty research metrics and funding activity, coordinating grant-related processes, and supporting research communications such as the Oracle newsletter. The role also contributes to doctoral program operations through coordination of faculty annual reviews, planning and budget tracking for initiatives such as the PhD RISE program, and support of key academic events. Success in this position requires strong organizational skills, sound judgment, and the ability to build collaborative relationships with faculty, leadership, and administrative partners across the college while ensuring the efficient execution of research and doctoral education priorities.

Duties & Responsibilities

Leadership Administrative Support and Calendar Management

  • Provide high-level administrative support equally (50/50) to the Associate Dean for Research and the PhD Director/NHS Division Chair.
  • Manage complex calendars, schedule leadership and departmental meetings, coordinate logistics, and serve as a primary point of contact to ensure efficient daily operations and communication across faculty, staff, and university units.

Meeting Coordination, Facilitation, and Documentation

  • Coordinate and facilitate research and academic meetings, including preparing agendas, organizing materials, tracking action items, and recording and distributing detailed meeting minutes.
  • Support committees, forums, and departmental meetings to ensure effective communication and follow-through on priorities.

Faculty Research and Grant Support

  • Assist with administrative processes supporting faculty research and grant activity, including coordinating mock reviewers for faculty grant submissions, tracking faculty research metrics, assisting with grant-related documentation and processes, supporting faculty annual review workload documentation, and maintaining organized records related to research initiatives.

Research Communications and Reporting

  • Develop and distribute research communications, including the Oracle research newsletter and other updates highlighting faculty research activities, funding, and accomplishments.
  • Compile and organize research information and metrics to support leadership reporting and faculty engagement.

Program Coordination and Financial/Operational Support

  • Support operational and financial processes for the Office of Research Services and PhD program initiatives, including processing reimbursements and submitting financial documentation, tracking budgets for events, and assisting with planning and coordination of PhD program events such as the PhD RISE program in collaboration with the PhD Director.

Knowledge, Skills, and Abilities:

  • Knowledge of administrative operations within higher education and familiarity with university policies, procedures, and systems.
  • Strong organizational and time-management skills with the ability to coordinate multiple priorities, deadlines, and complex schedules simultaneously.
  • Ability to support executive leadership through proactive calendar management, meeting coordination, and effective communication across departments.
  • Skill in preparing meeting agendas, documenting detailed meeting minutes, and tracking action items to support organizational follow-through.
  • Ability to compile, track, and organize faculty research metrics, grant activity, and program documentation.
  • Knowledge of financial and administrative processes, including submitting reimbursements, tracking budgets for events or initiatives, and maintaining financial documentation.
  • Strong written communication skills with the ability to develop and distribute newsletters, reports, and professional communications
  • Ability to coordinate events and program logistics, including planning academic events and leadership initiatives such as PhD program activities.
  • Ability to work independently, exercise sound judgment, and maintain confidentiality when handling sensitive faculty, research, and administrative information.
