Administrative Assistant

Entarian is seeking a talented and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will provide critical support to Finance, Program Management and Program Control. This position is responsible for coordinating administrative activities, maintaining records and documentation, preparing reports and presentations, supporting the day-to-day business operations. As the central administrative point of contact, this individual ensures organizational efficiency and supports both management and staff in meeting operational requirements. The ideal candidate is highly organized, detail-oriented, and capable of supporting multiple projects and stakeholders in a fast-paced environment.

Key Responsibilities:

Provide administrative support to Finance and Project Managers
• Maintain files, project documentation, correspondence, reports, and records.
• Prepare, maintain, and update spreadsheets used for weekly, monthly, and program reporting, ensuring data accuracy and timely submission to management and Program Control teams.
• Support Program Control and Operations personnel by maintaining resource tracking information, project documentation, and program records.
• Assist with procurement activities, purchase requests, and Procurement administration in which it correlates to maintaining our records.
• Interface with internal departments including Contracts, Finance, Human Resources, Security, Operations, and Program Control to support business requirements.

• Must be able to obtain a SECRET level security clearance.
• High school diploma; Associate degree preferred.
• 3+ years of administrative support experience.
• Communication Skills: Strong interpersonal and communication skills to interact effectively with diverse individuals.
• Technical Proficiency: Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and general office technology.
• Multitasking Ability: Capacity to multitask and work independently in a fast-paced environment.
• Attention to Detail: Strong organizational skills and an eye for detail to ensure accuracy in all tasks.
• Positive Professional Attitude: A professional and positive demeanor that reflects our company values.

• Active SECRET level security clearance.
