The Proposal Specialist manages the full lifecycle of non-project proposals, from intake and review through client-facing submission, ensuring accuracy, professionalism, and timely delivery. This role plays a critical part in supporting MCS's growth by developing high-quality proposals, helping secure new business opportunities, and maintaining an organized and efficient proposal process.

Essential Duties & Responsibilities:
  • Review incoming non-project proposal requests for completeness and accuracy
  • Coordinate with account management and field operations to gather necessary scope details
  • Ensure all required information is in hand before beginning proposal development
  • Develop professional, accurate, client-facing proposals for non-project work
  • Present pricing, scope, and terms clearly and in a format consistent with client and company standards
  • Ensure proposals are reviewed and approved internally prior to submission
  • Enter completed proposals into client portals and all relevant internal systems
  • Track submission status and follow up on pending portal entries
  • Monitor and track all active proposals from submission through approval or rejection
  • Maintain an organized log of current and historical proposal activity
  • Communicate proposal status updates to Account Managers and internal stakeholders as needed
  • Drive continuous improvement initiatives and support the development of the best practices for strategic account management

Competencies:
  • Experience in proposal writing, estimating, or a similar role in field service or facilities management
  • Strong written communication skills and attention to detail
  • Comfortable working in client portals and work order management systems
  • Ability to manage multiple proposals simultaneously and meet deadlines
  • Organized and proactive able to track and manage a high volume of submissions
Education and Experience:

Education: Bachelor's degree in construction management, Business Administration, or related field (or equivalent experience)

Experience: Excellent organizational and time management skills with attention to detail.

Ability to manage multiple priorities in a fast-paced environment.

Preferred:

  • HVAC estimating experience strongly preferred, Plumbing a plus
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple proposals and deadlines simultaneously.
