JOB SUMMARY

We are seeking an Administrative Coordinator to oversee QGenda scheduling, audits and maintains provider templates, coordinates call and consult schedules, and manages schedule changes while minimizing disruption to patient care. The position works closely with physicians, administrative leadership, and support staff to optimize clinic utilization, improve access, and address urgent scheduling needs, serving as a key operational link between clinical demand and available capacity

JOB DUTIES AND RESPONSIBILITIES



  • Building, maintaining, and auditing QGenda schedules for physicians and APPs across multiple clinical locations.
  • Maintaining provider templates to ensure accurate availability, appropriate session structure, site-specific scheduling logic, and usable clinical capacity.
  • Assisting with the coordination of consult, call, inpatient service, and coverage schedules.
  • Managing provider schedule changes, PTO/CME impacts, urgent coverage needs, backfill opportunities, program development, and template changes.
  • Monitoring access gaps and escalating capacity concerns to administrative and clinical leadership.
  • Partnering with scheduling teams to ensure available capacity is visible, accurate, and appropriately used.
  • Supporting onboarding of new physicians and APPs by coordinating clinical templates, session assignments, schedule build needs, and operational readiness.
  • Troubleshooting template misalignment, incorrect availability, blocked sessions, and other scheduling issues that directly affect patient access.
  • Supporting expansion into new locations by aligning clinical coverage, templates, scheduling workflows, and operational go-live needs.
  • Performing reporting and audits related to clinic utilization, room utilization, schedule availability, and patient access.





JOB ELIGIBILITY REQUIREMENTS




  • Work requires a general business background generally equivalent to a bachelor's degree in a business related field.



  • Work requires 2 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.



  • A master's degree in a business related field may be substituted for 2 years experience.



  • OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.


  • The Clinical Scheduling Coordinator requires strong knowledge of clinical operations, scheduling workflows, and patient access management within a multi-site healthcare environment. This role demands proficiency with scheduling systems such as QGenda, along with the ability to manage and audit complex provider templates and coordinate consult and call schedules. The position requires excellent organizational, analytical, and problem-solving skills to assess scheduling impacts, resolve conflicts, and optimize clinic utilization. Strong communication and collaboration skills are essential to effectively partner with physicians, administrative leadership, and support staff, while maintaining a high level of professionalism in managing escalations. The ability to work independently, prioritize competing demands, and respond to urgent or after-hours scheduling needs is critical, as is attention to detail to ensure accuracy and consistency across systems and workflows.



JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
