osition Overview

Our client is seeking a highly organized and proactive Part-Time Administrative Assistant to provide administrative, scheduling, and sample coordination support. This position will work with confidential information, manage competing priorities, and interact with employees and stakeholders across all levels of the organization.

Please note: This is a part-time position. Specific working hours and schedule will be confirmed during the interview process.


Key Responsibilities

  • Provide general secretarial and administrative support.
  • Coordinate meetings, conference calls, and in-person appointments.
  • Communicate schedules, meeting details, and updates to all participants.
  • Arrange domestic and/or international travel as needed.
  • Prepare and process expense reports accurately and on time.
  • Assist with event planning, logistics, and coordination.
  • Coordinate the shipment, tracking, receipt, and distribution of product samples.
  • Maintain accurate sample and shipping documentation.
  • Handle confidential materials with discretion and minimal supervision.
  • Complete special projects and additional administrative assignments as needed.
  • Manage multiple priorities while maintaining accuracy and meeting deadlines.


Qualifications

  • 2-4 years of previous administrative or coordination experience.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Experience coordinating shipments or product samples is preferred.
  • Strong organizational and time-management skills.
  • Ability to prioritize and manage multiple assignments simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to work effectively with employees and leaders at all organizational levels.
  • High degree of professionalism, discretion, and attention to detail.
  • Proactive, adaptable, and comfortable working independently.
