Work Schedule
8:30 am - 3:00 pm; Monday - Friday, with occasional evening and weekend hours required or as necessary. 30-minute meal periods.
Primary Purpose of Position
This position provides the basic administrative support, office management, and resource and procedural assistance for all the programs delivered by Venture, and the office support for four full-time outdoor adventure professionals. Serves as the primary program resource for billing and contractual correspondence with challenge course clients, the registration of participants on trips, and the renting of camping equipment.
Minimum Education/Experience
Required Minimum Qualifications:

Graduation from high school; or an equivalent combination of education and experience.

Essential Job Duties

  • Provide front-line customer service, including receiving and welcoming guests, assisting clients with program registrations and payments, answering questions about Venture offerings, etc.
  • Record-keeping, including tracking budget expenditures with Excel (after pulling data from Banner), program participation, risk management documentation, etc.
  • Current experience or ability to quickly learn computer software including Microsoft, Google, Adobe, Banner, and University-specific applications such as Concur (p-card), Niner-Talent, Imagenow, and NinerEngage.
  • Communication with clients regarding invoicing and contracts.
  • Submitting deposits from payments received from program registrations.
  • Processing hiring documents and time sheets for student and temporary employees.
  • Processing paperwork for University procedures including travel, work orders, motor pool requests, petty cash, and p-card reconciliation.
  • General administrative support for four full-time employees as needed.
  • Supervising administrative student workers assisting with all tasks above.
  • Occasional program logistics support such as transporting supplies to program locations.
  • Attendance at functions for the purpose of better understanding Venture offerings.

Departmental Preferred Experience, Skills, Training/Education

  • Ability to manage a high volume of routine tasks (data entry, deposits, communication with clients, etc.) promptly.
  • Manage competing demands that are bound by deadlines.
  • Experience with communication and data tracking software such as Google Docs or Word, Spreadsheets, and Forms. Experience with University-specific software such as Banner, ImageNow, Niner Talent, and Niner Engage or equivalent. Experience with creating and editing PDFs.
  • Ability to conduct duties defined by the University as "sensitive": handling cash, managing confidential data, access to master keys, etc.
  • Experience with customer service including communicating with clients in both written and spoken formats, and sending and receiving contracts, invoices/payments, etc.
