HR Assistant

Staffmark Group
$25.00-$30.00
paid holidays
United States, California, Pleasanton
Aug 28, 2026
Are you an outgoing, detail-oriented HR professional who enjoys being the person employees can count on?

We're looking for an HR Assistant to join the HR team of a well-established, employee-owned organization with a long history of success in the building systems and construction services industry. This is an opportunity to join a growing HR team where you'll have meaningful interaction with employees, managers, and new hires while gaining broad exposure to the employee lifecycle.

This organization is known for its technical expertise, commitment to developing its people, and opportunities for employees to expand their skills and grow their careers. As an employee-owned company, team members have the opportunity to be part of something bigger than their individual role.

If you're someone who takes pride in getting the details right, enjoys helping people, and believes in taking ownership of your work, this could be an excellent next step in your HR career.

Why You'll Love This Opportunity

  • Be the face of HR: You'll play a highly visible, people-facing role and be one of the first HR contacts for new employees.
  • Make an immediate impact: You'll help employees successfully navigate onboarding, orientations, HR processes, and questions throughout their employment.
  • Gain broad HR experience: This position touches onboarding, I-9s, employee data, background checks, HR communications, compliance, and administrative processes.
  • Join a collaborative HR team: You'll work alongside an established HR team of approximately eight professionals.
  • Work for an employee-owned organization: The company operates under an Employee Stock Ownership Plan (ESOP), giving employees a meaningful connection to the organization's long-term success.
  • Keep learning: The environment encourages technical curiosity, professional development, and learning new systems and processes.
  • Enjoy a professional but approachable culture: The office environment is business casual and includes a game room with ping pong and arcade games.

What You'll Do

As an HR Assistant, you'll help ensure employees have a positive and well-supported experience from the moment they join the organization through the end of their employment.

Your responsibilities will include:

Employee Onboarding & Offboarding

  • Coordinate pre-boarding, onboarding, and offboarding activities.
  • Coordinate with managers and new hires to ensure a smooth start.
  • Conduct new hire orientations and provide employees with information about company policies and expectations.
  • Assist employees with new hire paperwork.
  • Prepare and route personnel action forms.
  • Coordinate exit procedures and exit interviews.

Employee Support & HR Partnership

  • Serve as a trusted point of contact for employees and managers.
  • Respond to questions and help employees navigate HR processes.
  • Build positive relationships throughout the organization.
  • Partner with the HR team to ensure employees receive timely, accurate information.

HR Administration & Data Integrity

  • Maintain accurate employee information in HR systems and databases.
  • Review and validate employee records and documentation.
  • Support HR reporting, payroll, benefits, compliance, and other HR processes.
  • Assist with HR correspondence and documentation, including leave-related communications, performance improvement documentation, exit information, and job descriptions.

I-9 & Compliance

  • Process and audit I-9 documentation for accuracy.
  • Follow up on corrections and missing information.
  • Support E-Verify processes and compliance requirements.
  • Help train administrative personnel on I-9, E-Verify, and related HR processes.

Background Checks & Special Projects

  • Coordinate background check processes for applicable projects.
  • Support specialized background-check and badging requirements.
  • Assist with reports and documentation associated with these processes.

Emergency & Employee Support

  • Assist with emergency planning, evacuations, drills, and CPR training coordination.
  • Support employee communications during special circumstances and leave processes.

What We're Looking For

The ideal candidate is personable, highly organized, accountable, and comfortable working with people at all levels of an organization.

You'll be successful in this role if you:

  • Enjoy interacting with people and naturally make others feel comfortable.
  • Are confident serving as a representative of HR and welcoming new employees to the organization.
  • Have exceptional attention to detail and routinely double- and triple-check your work.
  • Take ownership when something goes wrong rather than looking for someone else to blame.
  • Communicate clearly and honestly about what you know-and what you don't.
  • Can handle confidential information with discretion and professionalism.
  • Are comfortable working in a fast-paced environment with changing priorities.
  • Are proactive and willing to figure things out independently.
  • Have strong emotional intelligence and self-awareness.
  • Enjoy learning new technology, systems, and processes.
  • Can build authentic relationships with employees, managers, and colleagues.

Qualifications

  • High school diploma required; college degree or HR certification preferred.
  • 2-3 years of HR experience preferred.
  • Experience working in a corporate environment is strongly preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational and attention-to-detail skills.
  • Strong Microsoft Office skills and comfort learning new technology.
  • Experience with HRIS systems is helpful; experience with Oracle is a plus but not required.
  • Ability to learn new systems quickly is important.

Work Schedule

The initial schedule is Monday through Friday, generally 8:00 AM-5:00 PM with a one-hour lunch, with some flexibility around the lunch period of an hour or 30 minutes

As the position transitions to a direct-hire arrangement, the anticipated schedule may move to a hybrid structure of approximately four days onsite and one day remote, with some flexibility, based on business needs.

Occasional overtime may be required.

Compensation & Opportunity

-$25-$30 per hour, with some flexibility depending on experience and qualifications.

-This is initially a temporary opportunity with the potential to become temp-to-hire, depending on business needs and available budget.

The company has been established for decades and has grown into one of the larger organizations in its industry, providing exposure to complex projects and a broad professional environment.

If you're ready to take the next step in HR and want a role where your personality, attention to detail, and ability to make people feel supported truly matter, we'd love to hear from you.

Apply today to be considered for this HR Assistant opportunity.
