Description

OVERVIEW: The Fleet Operations Coordinator supports SUE operations in the administration, compliance, safety oversight, and daily operations of an office's fleet of trucks, trailers, and other vehicles. This role ensures accurate fleet records, proactive maintenance, driver compliance, and effective use of fleet management systems while serving as a key operational backup and drivertraining resource. Occasional travel may be required for training and fleet support.

DURING YOUR WORK DAY, YOU WILL:

Fleet Administration & Asset Management



  • Maintain accurate and current inventory records for all companyowned and leased vehicles and equipment, including assignment of primary drivers.
  • Ensure vehicles are properly registered, documented, and compliant with applicable requirements.
  • Provide administrative and operational support for fleet management platforms, including the Enterprise fleet system and Samsara.
  • Oversee, administer, and maximize the Samsara system and provide regular reporting to corporate safety and managers.
  • Serve as secondary point of contact with Enterprise to approve repairs and maintenance, coordinate vehicle turnins, and track new vehicle deliveries.
  • Partner with corporate accounting when new vehicles are leased or when vehicles are removed from service to ensure installation or removal of Samsara devices, safety equipment, etc.


Safety, Compliance & Monitoring



  • Troubleshoot telematics units that malfunction or go offline.
  • Ensure all fleet vehicles are assigned to a designated primary driver.
  • Partner with Corporate Safety Director and relevant managers on driver qualification, incident followup, and corrective actions.


Maintenance & Financial Administration



  • Track preventive maintenance schedules and notify drivers and managers when service is due.
  • Track and provide reporting on vehicle mileage to safety and accounting as needed.
  • Process invoices related to vehicle repairs, maintenance, and tolls accurately and in a timely manner.


Accident & Incident Reporting



  • Upon notification from Corporate Safety Director, report vehicle accidents to the insurance carrier.
  • Assist with required documentation and followup related to claims.


Fuel Card & Driver Access Management



  • Coordinate with employees, managers, and Corporate Safety to support resolution and reinstatement, when applicable.
  • Request new or replacement WEX fuel cards as needed


WHAT YOU'LL NEED:



  • Proficient computer skills including Outlook, Word and at least 2 years of experience with Excel.
  • Must work well under pressure in a fast-paced work environment. Should be able to think quickly on your feet.
  • Demonstrated organizational, problemsolving, and analytical abilities.
  • Excellent communication skills, oral and written.
  • Must be punctual & reliable; Geomatics work hours are 7 a.m. to 5 p.m; additional hours may be required at times.
  • High school diploma, or the equivalent.
  • Valid driver's license with an acceptable motor vehicle record.
  • Must pass required drug testing and criminal background screening.


WHAT WILL MAKE YOU STAND OUT:



  • An Associate's degree.
  • Smith Driver Trainer Certification
  • Two years of customer service or public-facing experience.
  • Certification of any Microsoft product(s).
  • Experience with BST and/or Pyramid
  • Positive customer service orientation.
