We are seeking a Project Coordinator to become the essential backbone of a marketing communications team, where your efforts will directly shape the success of critical projects and high-volume events. You'll play a pivotal role in maintaining brand consistency, managing vital resources, and ensuring every deliverable meets its mark, making a tangible impact on how this leading tech company communicates with its audience.

What You'll Do



  • Create and monitor comprehensive project schedules and calendars, diligently ensuring all deadlines are met, particularly during high-volume event periods.
  • Own the day-to-day tracking of marketing communications project and event budgets, monitoring spend against plan and proactively flagging any potential risks to the team.
  • Build, update, and template polished presentation decks for team and leadership use, leveraging AI tools whenever possible to enhance speed and maintain consistency.
  • Track and communicate project status effectively across internal and cross-functional stakeholders, ensuring everyone is informed and aligned.
  • Set up essential meetings and calls, meticulously taking notes and diligently following up on action items and decisions to keep momentum.
  • Organize, attend, and actively participate in stakeholder meetings, contributing to productive discussions.
  • Provide crucial general administrative support to the marketing communications team, including managing asset libraries, streamlining workflows, handling file management, and maintaining documentation.
  • Collaborate with team leads to assign projects, communicate progress updates, and effectively manage project budgets.
  • Serve as the primary point of contact for third-party creative agencies, fostering strong working relationships.
  • Support the internal and external socialization and amplification of content and events.
  • Support in driving team systems, efficiently intaking and escalating project requests, and contributing to workflow automation and efficiency initiatives.


Must-Have Qualifications



  • 3+ years of experience in a related field such as marketing, communications, project coordination, or an agency environment.
  • Proven expertise in project management, including managing multiple marketing communications projects and deliverables across a highly matrixed organization.
  • Demonstrated ability to track budgets, due dates, and project status, ensuring the creative and content process moves forward on time, on budget, and on brand, especially during peak event seasons.
  • Experience with event and content metrics tracking and reporting.
  • Strong budget and finance support skills, including tracking project and program budgets and deadlines, monitoring spend against plan, and proactively flagging risks.
  • Proficiency in presentation design, with the ability to build, update, and maintain templated presentation decks (PowerPoint/Google Slides) to a high visual standard, and to turn around quick revisions under tight deadlines.
  • Comfortable and fluent in using AI tools to speed up deck and content creation, status tracking, and other recurring work.
  • Strong interpersonal skills and clear communication abilities, adept at managing stakeholder expectations across busy, cross-functional teams.
  • Excellent problem-solving skills, including the ability to negotiate deadlines, manage conflict, and make resource trade-offs in a fast-moving environment.
  • Possess an artistic sensibility, understanding creative standards and brand voice, and able to flag questionable materials for review.
  • Technical proficiency with Google Workspace and Slack.
