Summary

The Volunteer Operations Assistant provides field, equipment, and logistical support for Volunteer Garland programs and community service projects, with an emphasis on Garland Cares. This position helps create safe, organized, and positive experiences for volunteers by preparing project sites and equipment, maintaining tools and inventory, supporting volunteers in the field, and following established standard operating procedures and safety practices.

The position performs hands on outdoor work using lawn, landscaping, cleanup, and basic construction tools and equipment. The Volunteer Operations Assistants also supports Volunteer Garland events, community outreach, volunteer recruitment, and program visibility. Work is performed in both indoor and outdoor environments and may include evenings and weekends.

Starting Pay: $17.00 per hour

Work Schedule: 15 hours per week

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Equipment and Inventory

  • Maintain an organized inventory of Volunteer Garland tools, equipment, supplies, and related materials.

  • Check equipment and supplies in and out using established inventory procedures.

  • Clean, organize, and properly store tools and equipment following use.

  • Perform routine equipment care and basic preventive maintenance within assigned training and responsibilities.

  • Assist with maintaining equipment maintenance, inspection, and usage records.

  • Prepare, stage, load, transport, unload, and return equipment and supplies for volunteer projects and events.

  • Monitor commonly used supplies and notify the Volunteer Program Manager when equipment, replacement parts, fuel, safety supplies, or other materials are needed.

Field Operations

  • Support volunteer projects involving lawn and yard maintenance, property cleanup, landscaping, brush and debris removal, painting, and other approved equipment following required training.

  • Assist with evaluating project needs, identifying necessary equipment and supplies, and preparing project sites for volunteers.

  • Perform hands on work alongside volunteers when necessary to safely and successfully complete assigned projects.

  • Follow established volunteer project standards, SOPs, safety requirements, and instructions from the Volunteer Program Manager.

  • Help ensure completed work meets the established scope and expectations for the project.

Volunteer Project Support

  • Assist with organizing volunteers at project sites and provide clear instructions regarding assigned tasks.

  • Demonstrate appropriate use of tools and equipment within the employee's training and authorization.

  • Reinforce established safety procedures, appropriate use of personal protective equipment, and project specific instructions.

  • Help keep volunteer projects organized, productive, welcoming, and focused on providing participants with positive volunteer experience.

  • Assist with project setup, volunteer arrival, equipment distribution, project execution, cleanup, equipment recovery, and site closeout.

Documentation and Records

  • Take appropriate before, during, and after photographs and video of Volunteer Garland projects and activities.

  • Maintain accurate equipment checkout, return, inspection, and maintenance records.

  • Assist with documenting damaged or missing equipment, supply usage, and other operational information.

  • Provide project information and documentation to the Volunteer Program Manager following completed activities.

Volunteer Garland Events and Community Outreach

  • Support Volunteer Garland projects, special events, recruitment activities, and community outreach efforts.

  • Assist with transporting materials and equipment and setting up and tearing down Volunteer Garland booths, displays, project sites, and event areas.

  • Greet residents and volunteers and provide basic information about Volunteer Garland programs and opportunities.

  • Encourage community members to learn more about volunteering and direct interested individuals to Volunteer Garland registration and program resources.

  • Represent Volunteer Garland and the City of Garland in a professional, welcoming, and service oriented manner.

Minimum Qualifications

  • High School Diploma or GED required.

  • Experience using lawn, landscaping, maintenance, construction, or similar tools and equipment is preferred.

  • Experience in landscaping, parks, facilities, property maintenance, construction, community service, volunteer activities, or a related environment is preferred.

Or an equivalent combination of education, training, volunteer service, and practical experience may be considered.

Knowledge, Skills, and Abilities

  • Basic knowledge of lawn and yard maintenance practices.

  • Familiarity with common hand tools, lawn equipment, landscaping equipment, and basic power tools.

  • Ability to learn the safe operation and routine care of City owned equipment.

  • Ability to follow written SOPs, safety procedures, project instructions, and equipment requirements.

  • Ability to maintain accurate equipment and inventory records.

  • Ability to organize tools, supplies, and materials for field projects.

  • Ability to communicate clearly and respectfully with volunteers, residents, City employees, and community partners.

  • Ability to demonstrate tasks and provide basic field direction to volunteers.

  • Ability to work effectively with volunteers of different ages, backgrounds, abilities, and levels of experience.

  • Ability to recognize unsafe conditions and seek assistance when circumstances exceed assigned training or authority.

  • Ability to provide dependable transportation and field support for scheduled projects and events.

  • Strong customer service skills and a commitment to providing volunteers and residents with positive experience.

License

  • Valid Texas Class C Driver's License required.

Physical activities may include standing, walking, bending, lifting, carrying, and reaching. The employee must be able to lift and carry up to forty pounds.
