Job Description




Allied Universal is looking to hire a Administrative Support Assistant. The Administrative Support Assistant has dual primary areas of responsibility. Some of the areas of reponsability include: perform administrative, operational, and program support services as requested by the Purchaser and support department business objectives, regulatory compliance activities, and performance improvement initiatives.

The Administrative Support Assistant position requires availability for response during days, nights, weekends, and holidays to liaison for personnel training, financial deadlines, and clerical duties for training and access. Ensures all duties are carried out with safety as the number one priority. Fosters and models a healthy Safety Conscious Work Environment (SCWE).

RESPONSIBILITIES:

  • Provide administrative and organizational support to Nuclear Protection Services management and staff.
  • Coordinate meetings, schedules, communications, training activities, and departmental events.
  • Prepare and maintain reports, presentations, spreadsheets, records, correspondence, and departmental documentation.
  • Support department programs including PAMS, WOBS, CAP, training, assessments, audits, inspections, drills, and corrective action activities.
  • Track department metrics, action items, inventories, training records, and performance indicators.
  • Support procurement activities, vendor coordination, invoice processing, and inventory management.
  • Utilize SAP, Outlook, Excel, and other site systems to support departmental operations.
  • Perform data collection, analysis, trending, and reporting activities.
  • Coordinate with station departments, contractors, and vendors to support department objectives.
  • Support procedure reviews, document control activities, and records management requirements.
  • Perform field observations, administrative reviews, and follow-up actions as directed by the Purchaser.
  • Protect confidential, proprietary, security-related, and safeguarded information.
  • Perform additional duties consistent with the individual's qualifications and department needs.

QUALIFICATIONS:

  • High school diploma or equivalent
  • Ability to obtain and maintain all necessary state or federal licensing requirements
  • Experience in a nuclear power generation environment, preferably supporting Nuclear Security or related site organizations.
  • Working knowledge of Nuclear Security programs, processes, and department operations.
  • Proficiency with Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
  • Experience using site business systems and programs, including SAP, PAMS, WOBS, CAP databases, and other station software applications.
  • Strong organizational, communication, data management, and reporting skills.
  • Ability to obtain and maintain required site access authorization and handle sensitive information in accordance with company requirements.
