About This Role

This position provides specialized administrative and health information support to help students access CAPS services while maintaining accurate, confidential, and legally managed behavioral-health records.

Duties include but are not limited to:
Provides administrative and front-line support for Counseling and Psychological Services (CAPS) by facilitating student access to services, coordinating appointments and related information, supporting daily client flow, and appropriately communicating urgent, safety, scheduling, or access concerns to designated CAPS staff. Verifies patient eligibility and collects, posts, and processes patient payments within the EMR.

Responsible for managing confidential student health records, processing and releasing information appropriately, maintaining accurate documentation, and ensuring compliance with privacy and confidentiality requirements (HIPAA & FERPA).

As the primary mental health resource for K-State students, CAPS provides a confidential, safe space to process anything that weighs on your mind. Whether you have a personal struggle that you want to work through, a relationship you'd like to improve, a societal issue that is causing you concern, or some other topic on your mind, our dedicated staff are here to listen and help you process anything that is having a psychological impact on you. Our services are open and available to all enrolled K-State students who have paid the student services fee included in their tuition bill.

CAPS provides consultations, workshops, group and individual therapy, as well as referral information for K-State campus partners and the Manhattan community.


Worksite Description

This position is On-site.

All employees must reside in the United States when they begin working to comply with state law. K-State is unable to provide remote or hybrid work opportunities for residents of the state of Idaho.


What You'll Need to Succeed

Minimum Qualifications:



  • High school diploma or equivalent
  • One year of relevant experience. Requirements may be met through a combination of education and experience.



Preferred Qualifications:



  • One to three years of relevant experience
  • Experience in behavioral health or a medical office
  • Knowledge of privacy (HIPAA & FERPA) and records management requirements
  • Strong communication and organizational skills
  • Ability to handle sensitive situations and multiple priorities while maintaining confidentiality.


Sponsorship eligibility:

Candidates must be legally authorized to work in the U.S. on an ongoing basis without sponsorship
