Position Overview
This position is a 1.0 FTE appointment serving the School Architecture and Design at the University of Kansas.
Working with the Dean, the Associate Deans of the School, the Chairs of the Departments, and the Directors of Academic Programs and other staff leaders of the School, the position develops, implements and manages the recruitment and enrollment management plans and strategies of the School and leads efforts to meet the recruitment and enrollment goals of all the academic programs of the School are met.
Working with the Office of Enrollment Management, the Office of International Affairs, and the Office of Analytics, Institutional Research, & Effectiveness (AIRE), the position ensures that the recruitment and enrollment management plans and strategies of the School are data-informed and aligned with the priorities of the University.
The position is a member of the Dean's leadership team. The position supervises the Student Recruiter, the Admissions Coordinator of the School, and a staff of student employees. The Position serves at the pleasure of the Dean and reports to the Dean.
Job Description
Responsibilities Related to Recruitment (75%)
- Oversees recruitment budgets of the School
- Working with Chairs, Program Directors, Student Recruiter, Admissions Coordinator, and communication teams, develops, implements, and maintains
- An annual recruitment and enrollment plan for the School and its units that identifies goals, priority audiences, strategies, responsible partners, timelines, resource needs, and measures of success.
- An annual recruitment marketing plan for the School to enhance existing pipelines and create new pipelines.
- An annual recruitment communication plan for outreach to prospective, applied, and admitted students (includes social media plan, web forms, email templates, and other media, as appropriate).
- An annual recruitment travel and activity plan supporting recruitment and enrollment goals of the School.
- Recruitment and Enrollment Management
- Works with the dean, department chairs, program directors, academic and administrative partners to establish enrollment goals that align with program characteristics, instructional capacity, and student experience. These goals will generally include increasing prospective student leads and applicant pools; improving demographics; and improving yields at inquiry, application and enrollment.
- Bring together academic leaders, recruitment, admissions, communications, student success, and central university partners on a regular basis to review priorities, resolve issues, and document decisions and follow-up.
- Develops and maintains data-informed recruitment and enrollment strategies for regional, national and international markets supporting all academic programs of the School.
- Define, monitor, and report agreed-upon recruitment and enrollment measures, and use the results to recommend changes in markets, messaging, travel, events, digital activity, or use of resources.
- Recruitment Marketing
- In coordination with KU Strategic Enrollment Management and the leaders of the School, defines and manages recruitment territories appropriate for the School.
- In collaboration with the Director of Communications, builds a strong, recognizable identity of the School and its programs in the recruitment markets supported by printed and digital materials and resources.
- Generates leads through digital campaigns, campus tours, regional college fairs, and other innovative techniques to capture contact information (names, emails, intended majors).
- Sends high-level recruitment materials to leads based on broad opportunity groups.
- Recruitment Communication
- Communicates regularly with prospective students and families and high school and community college instructors and counselors.
- Manages selected correspondence, planning and execution of on- and off-campus programs and activities.
- Independently provides counseling and education services to assist prospective students and parents with the admissions and academic program selection.
- Provides KU resource information to inquiring schools and agencies.
- Coordinates with the communication team to update School website and develop digital and printed recruitment materials.
- Recruitment Travel, Events, Activities
- Working with the School Recruiter, Admissions Coordinator, and the Director of Student Academic Services & Success,
- develops, coordinates and manages admission workshops, receptions, and special recruitment events, including onsite tours for prospective students and parents; Architecture & Design Day; Admitted Student events; Opportunity Groups and Program Focused Recruitment Events; High School Visits; National Portfolio Days; Junior and Senior Days; College Fairs; and other School and KU Events.
- develops, coordinates and manages on-campus and off-campus Design Camps of the School.
- manages student ambassadors to help with recruitment events and activities.
Responsibilities Related to Admissions (15%)
- Works with the Admissions Coordinator to evaluate regular admission decisions for all programs.
- Works with departmental chairs and committees to handle all special reviews for admissions and advanced placement in degree programs.
- Meets with transfer, change-of-school and re-admit students who are interested in applying to our programs; evaluates each student, describes the academic performance requirements they must have to obtain admission; and works with the Jayhawk Academic Advising Team and Director of Student Services and Success to help students develop initial degree plans during admission processes.
- Works with departmental chairs and committees to coordinate final admission decisions and course waivers for new, international, re-admit, change-of-school and transfer students, and communicate this information to students in the Jayhawk GPS portal to help ensure consistency across teams, reduce confusion for students, and provide a more coordinated experience from admission through enrollment and advising.
- Works with departmental chairs and committees to allocate graduate recruitment scholarships for Masters students.
- Manages preparatory evaluation transcript review and processing for all incoming undergraduate and graduate students in accordance with accreditation requirements.
Supervisory and Other Responsibilities (10%)
- Supervises the Student Recruiter and the Admissions Coordinator of the School with clear expectations for staff development, workload priorities, coverage, delegation, and consistent service to prospective students and families
- Serves on committees, as needed
- Participates in and assist with School activities
- Performs other duties in support of the mission of the School
Required Qualifications
- Master's degree or bachelor's degree and two (2) years recruitment experience in local, national, or international markets
- At least one year of supervisory experience
- Prior work experience working with a wide range of populations, as demonstrated by application materials and work history
- Understanding of CRM philosophy as well as familiarity with CRM technologies, such as, Slate
This position requires a formal degree in the cited discipline area(s) to ensure that candidates have advanced knowledge, analytical skills and professional competencies necessary to perform the duties of the position. The level of degree is commonly recognized as the standard qualification for similar roles in the public and private sector, ensuring that the university remains competitive with industry aligned practices, enhances collaboration with external partners, and supports the delivery of services and programs that meet professional and market-driven expectations.
Preferred Qualifications
- Experience with AI technologies for predictive analytics and yield modeling; personalized campaigns; and for administrative automation and document processing
- Excellent computer skills and demonstrated interest and capacity in database management
- Experience collaborating with different levels of leadership, including guidance counselors, and university and school leaderships as demonstrated by application materials and work history
- Experience with strategic student recruitment including ability to build qualified inquiry pool
- Knowledge of developing surveys and analyzing data for reporting purposes
- Proven experience exercising initiatives, decision-making and self-discipline
- Experience in all or some of the other areas of responsibilities of the position
- Demonstrated effective written communication skills as evidenced by application materials
- Demonstrated organizational skills and demonstrated ability to handle multiple projects and juggle priorities
