Job Summary

The Accounts Payable Coordinator (Entry) supports the invoice processing function by reviewing, researching, and accurately entering vendor invoices for payment. This role focuses on high-volume invoice entry, purchase order matching, payment term identification, and resolving discrepancies through detailed research and collaboration with internal and external partners. The ideal candidate has a strong accounts payable and accounting background, excellent attention to detail, and the ability to work efficiently in a deadline-driven environment.

Job Responsibilities



  • Review and verify inventory- and expense-related vendor invoices for accuracy and completeness.
  • Research vendor invoices and purchase orders to determine the correct purchase order for application and payment.
  • Image and organize invoices and supporting documentation prior to processing.
  • Enter invoice information into the ERP system using the accounts payable three-way matching process.
  • Process a high volume of invoices while maintaining accuracy and productivity standards.
  • Identify duplicate invoices, exceptions, and discrepancies and determine appropriate resolutions.
  • Conduct detailed research to resolve purchase order and invoice issues.
  • Partner with branches, buyers, vendors, and other stakeholders to obtain missing or corrected information.
  • Provide responsive and professional customer service to internal and external partners.
  • Apply critical thinking and sound judgment when resolving complex invoice and purchase order issues.
  • Follow accounts payable policies, procedures, and internal controls.
  • Support month-end, mid-year, and year-end close activities as needed.


Job Requirements



  • 2-3 years of experience reviewing and verifying inventory- and expense-related invoices.
  • 2-3 years of high-volume invoice entry experience.
  • 2-3 years of accounting experience.
  • Accounts payable experience required.
  • Strong understanding of purchase order processes, invoice matching, and basic accounting principles.
  • Experience with three-way invoice matching preferred.
  • Experience resolving inventory, receiving, shipping, or related discrepancies preferred.
  • Strong analytical, research, and problem-solving skills.
  • Excellent attention to detail and accuracy.
  • Ability to recall and apply information quickly to support decision-making.
  • Ability to organize and prioritize multiple tasks while adjusting to changing business needs.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, Teams, and Access.
  • Experience with Oracle is a plus.
