Summary
This role supports the Associate Vice President of Teaching and Learning ( AVPTL) by supporting contract lifecycle management, operational workflows, and data-driven process improvements across multiple academic divisions. The role supports the administration and compliance of faculty contracts, stipends, and additional assignments through centralized systems, ensuring alignment with institutional policies, union agreements, and regulatory requirements. An operations manager and executive assistant to the AVPTL must be a resourceful, detail-oriented, high-performing self-starter with the capacity to interact and engage with divisional leadership, faculty, and staff in an active and high-demand environment. This is an excellent opportunity for an individual who is organized, collaborative, flexible, and team oriented.
This position serves as a key liaison between leadership, faculty, and divisional staff, driving workflow efficiency, ensuring data integrity, and supporting operational decision making. The role exercises independent judgment in managing high-volume contract processes, optimizing systems, and implementing continuous improvement initiatives to enhance effectiveness, compliance, and scalability.
Essential Role Responsibilities

  • In close collaboration with academic divisions and the AVPTL, support the intake and governance of faculty contract assignment requests across multiple academic divisions to ensure compliance with union agreements and institutional policies.
  • Serve as key liaison and guide the end-to-end contract lifecycle management for faculty temporary and additional assignments, overload stipends, and travel and office space requests and other tickets approvals involving the AVPTL using SaaS (e.g., Team Dynamix).
  • Review and facilitate contract validation and processing in alignment with preauthorized approvals and signatory protocols.
  • Manage high-volume contract operations (50-90 daily reviews during peak cycles and 20-40 during non-peak periods), ensuring accuracy, compliance, and adherence to service-level timelines.
  • Analyze, track, and monitor TDx workflows, leading workflow updates and improvements as needed
  • Assist the AVPTL with Faculty Handbook, ensuring policies, procedures, and standards remain current, compliant, and aligned with institutional and union regulatory requirements.
  • Collaborate with staff, faculty, and leadership to drive efficient and aligned workflow processes.
  • Support AVPTL in operational and administrative functions, including travel coordination, procurement and requisitions, P-card reconciliation, budget tracking, and resource planning to ensure efficient and compliant divisional operations.
  • Ability to work independently, organize resources, and accept responsibility for completing assignments with minimal or no supervision.
  • Coordinate office space allocation, internal meetings, and event initiatives at the request of AVPTL.
  • Coordinate and align operational support for the AVP, ensuring administrative processes reflect divisional priorities and strategic objectives.

Minimum Education Required Bachelor's degree
Experience Required
* Bachelor's degree in a related field with progressively responsible experience in contract administration, academic/business operations, or a related area
* Demonstrated experience managing high-volume contract lifecycle processes with compliance oversight
* Knowledge of contract management principles, regulatory requirements, and union or institutional policies
* Experience supporting policy governance and formal documentation processes, such as faculty handbooks
* Proficiency in data analysis, reporting, and enterprise/SaaS systems (e.g., Team Dynamix or similar platforms) * Ability to coordinate cross-functional workflows and collaborate effectively with diverse stakeholders
* Strong organizational, analytical, and problem-solving skills, with the ability to manage multiple priorities in a fast-paced environment
* Working knowledge of financial processes, including requisitions, reconciliations, and budget tracking
* Excellent communication skills, attention to detail, and ability to handle sensitive information with discretion
* Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)

  • Ability to write clearly and concisely, including extensive knowledge of spelling, grammar and language usage.
  • Ability to work effectively with diverse segments of internal and external college constituencies.
  • Ability to use initiative to define and resolve problems.
  • Ability to maintain strict confidentiality.
  • Ability to work independently.
  • Regular attendance is a requirement for this job.
  • Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees in positions that do not require a bachelor's degree must participate in The Pension. Employees that possess a bachelor's degree and hold professional positions that require a bachelor's degree may choose to participate in either The Pension or The ORP.
