Contract Administrator

General Description

Contract Administrator ("CA") supports the Contract Administration Manager in providing support to operations and other Shared Service departments related to the responsibilities below. This is a non-exempt/hourly position that reports directly to the Contract Administration Manager.

Key Duties

Department Responsibilities

  • Evaluate terms, conditions, and specifications in bid documents from a risk management perspective.
  • Assist in solicitation of vendors and subcontractors and related reporting.
  • Coordinate, execute and distribute purchase documents, bonds or guarantees for subcontractors and verification of insurance coverage.
  • Maintain reports showing security received from subcontractors.
  • Assist project management teams with billings or payments.
  • Coordinate filing of notices or liens required for projects.
  • Coordinate, review, execute and distribute change orders and supplemental agreements.
  • Monitor project status and progress and assist with filing claims or pursuing other contractual remedies when needed.
  • Ensure compliance with contract policies and compile/prepare necessary documentation to facilitate the work in the field (e.g., certificates of insurance, certified payroll records, etc.)
  • Coordinate project close-out documentation.
  • Maintain contract files for all projects.

CA Responsibilities

  • Perform clerical duties and compile documentation as delegated by the Contract Administration Manager.
  • Communicate with subcontractors, suppliers, or other parties to coordinate compilation of contract documents.
  • Generally support and assist the Contract Administration Manager.

Qualification Requirements

  • General. To perform this job successfully, an individual must be able to perform each Key Duty satisfactorily.   • Education and Experience. College degree or similar training is preferred. Minimum two years experience in contract administration or similar work is required. General ability to effectively use typical office software and perform other clerical tasks.
  • Physical Demands. The following physical demands are representative of those that must be met to successfully perform the essential functions of this job.
    • Regularly required to sit and/or stand during a regular work shift of at least eight hours per day and perform typical office tasks.
    • Ability to lift periodically at least 25 pounds personally and the ability to carry up to 15 pounds personally.
  • Work Environment. The work environment characteristics described below are representative of those encountered while performing the essential functions of this job.
    • Work is performed predominately indoors in a typical construction office environment.
